Location: Downtown Riverside
Schedule: Part-Time, 4 days per week (Monday-Thursday preferred), 10:00 AM - 4:30 PM

Position Overview:
We are seeking a highly organized and proactive Part-Time Administrative Assistant to be the operational backbone of our agency. This role is perfect for a detail-oriented multitasker who thrives on supporting a team and ensuring smooth day-to-day operations. You will be responsible for a diverse range of tasks, from financial administration to supporting marketing campaigns, playing a crucial role in our efficiency and client service.
Key Responsibilities:
Financial & Office Administration (Core Focus):
- Manage all aspects of invoicing: generate client invoices, ensure accuracy, and follow up on payments.
- Assist with Accounts Receivable (AR) and Accounts Payable (AP): process incoming payments, track outstanding balances, and manage vendor bills.
- Maintain organized digital and physical filing systems for financial records, client projects, and vendor contracts.
- Provide general office support, including answering phones, managing email inquiries, and ordering supplies.
Marketing & Project Support:
- Develop, schedule, and publish engaging social media content across platforms (e.g., Instagram, Facebook, LinkedIn) to promote our services and client work.
- Assist in the creation, scheduling, and basic reporting for client and internal email campaigns using platforms like Mail chimp or Constant Contact.
- Support project management by helping to track project timelines, updating client statuses in our project management system (e.g., Asana, Trello), and preparing client-facing materials.
- Proofread and format marketing materials, proposals, and presentations.
Qualifications & Skills:
- Proven experience (2+ years) in an administrative, bookkeeping, or office support role. Agency experience is a major plus.
- Strong proficiency with QuickBooks Online (or similar accounting software) and the Microsoft Office/Google Workspace suites.
- Experience with social media management (content creation, scheduling tools like Hootsuite or Buffer) and email marketing platforms.
- Exceptional organizational skills and the ability to prioritize tasks in a deadline-driven environment.
- Excellent written and verbal communication skills.
- Self-starter with a problem-solving mindset and a "no task is too small" attitude.
- High level of discretion and professionalism when handling confidential financial and client information.
Bonus Points If You Have:
- A basic understanding of graphic design principles or familiarity with Adobe Creative Suite (Canva proficiency is also great).
- Experience in a print production, marketing, or creative agency.
- An eye for design and an interest in current marketing trends.
