Day-To-Day

  • Coordinates scheduling for inspections, contractor meetings, homeowner appointments, and staff training.
  • Manages calendars, schedules tentative appointments, and reserves meeting facilities as needed.
  • Maintains organized program files, records, and data systems in compliance with retention and confidentiality policies.
  • Supports compliance and audit readiness through accurate and timely documentation and record-keeping.
  • Prepares correspondence, regulatory filings, notices, invoices, and routine reports in accordance with established procedures.
  • Assists with data entry and reporting in grant and case management systems; maintains related software tools.
  • Ensures secure storage of homeowner and client data, following confidentiality and regulatory standards.
  • Tracks and coordinates staff training activities and supports onboarding tasks, including coordination with state facilities for new admissions.
  • Provides administrative support including preparing emails, letters, reports, meeting minutes, and presentations.
  • Screens and routes incoming calls and visitors; handles public inquiries and distributes mail.
  • Orders and maintains office supplies; ensures office equipment is operational and arranges maintenance when necessary.
  • Assists staff with troubleshooting administrative systems and offers training on internal processes as needed.

Qualifications

  • Associates Degree plus four years general office experience OR High School Diploma or equivalent plus six years directly related experience.
  • Valid Texas Drivers' License.
