Job Summary
Join our vibrant outpatient mental health & wellness center as a Receptionist, where you will be the welcoming face and organizational hub of our facility. Your energetic and friendly demeanor will set the tone for a positive experience for clients, visitors, and staff alike. In this role, you'll manage front desk operations, provide pre-registration, insurance verification, coordinate appointments, handle administrative tasks with precision, and ensure smooth daily operations. Your proactive approach and excellent communication skills will contribute to creating a warm, efficient environment that promotes health and well-being.
Responsibilities
- Greet clients and visitors warmly, providing exceptional customer service and guiding them through check-in procedures
- Manage multi-line phone systems to answer inquiries, schedule appointments, and direct calls efficiently
- Maintain appointment calendars using office EHR management software and Google Workspace tools, ensuring accurate scheduling and timely reminders
- Handle data entry, filing, and record keeping with high attention to detail using EHR applications and other computer literacy tools
- Assist with billing, invoicing, and bookkeeping tasks utilizing EHR i
- Support office management duties such as inventory control, supply ordering, and maintaining a clean, organized reception area
- Provide clerical support including proofreading documents, managing correspondence, and supporting administrative projects as needed
Qualifications
- Proven office experience with strong organizational skills and proficiency in computer skills including Google Workspace
- 3 years prior experience in front desk or medical receptionist roles preferred; familiarity with medical or mental wellness office procedures is a plus
- Excellent phone etiquette with experience managing multi-line phone systems in a professional setting
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Strong typing skills along with data entry expertise to ensure accurate record keeping
- Knowledge of bookkeeping or personal assistant experience is advantageous for supporting administrative functions
- Demonstrated ability to manage time efficiently while handling multiple responsibilities in a fast-paced environment
