Receptionist

Salary-non-exempt

Full time – Monday-Friday 7:45-4:45

Summary

The receptionist is the front-line staff person to provide safety and protection of the shelter by viewing the cameras and for being responsible for receiving visitors and clients to the shelter and directing them to the specific person or office for their appointments. The Receptionist is responsible for answering all calls to the shelter and accurately routing them to the intended person. This person must be capable of accurately giving and taking all phone messages for staff and clients or forwarding calls to staff voice mail. Confidentiality must be always adhered to. The receptionist position is supervised by the Shelter Supervisor.

Duties

Duties will include, but not be limited to:

  • Answering all calls to the shelter; routing crisis and other calls quickly; accurately giving and taking telephone messages and providing follow-up when needed.

  • Must be familiar with phone systems with multiple lines and functions.

  • Greeting and receiving visitors, guests, and clients to the shelter.

  • Maintaining the staff sign-in/out ledger, maintaining the visitor sign-in book and confidentiality statements.

  • Viewing the cameras for visitors entering and exiting the top and lower gates.

  • Viewing the patio camera and responding appropriately for clients buzzing to enter the shelter.

  • Organizing, Cleaning and Disinfecting the reception area

  • Copy room is neat and orderly and copy machine is filled with paper.

  • Maintain the Police Log and replenish candy and water for the officers who come to shelter

  • Maintaining the Visitor Clearance Registry and the daily Appointments Log for all shelter staff appointments.

  • Other related duties as deemed necessary by the Supervisor.

Knowledge, Skills, and Abilities

The Receptionist must be familiar with telephone systems having multiple lines and functions. She should have some knowledge of intimate partner violence issues and be able to efficiently and quietly route crisis/emergency calls to the proper person. The receptionist must be always friendly and courteous and must not engage in therapeutic conversation or give advice to clients, or repeat any information gained during the course of their duties. Ability to communicate clearly and effectively, both orally and in writing. Ability to work effectively and efficiently as part of a team. Ability to be flexible to work in a fast-paced crisis intervention environment. Ability to lift 25 pounds.

Minimum Qualifications

Graduation from an accredited high school or the equivalent in education, training and experience. Must be familiar with a multi-line telephone system. Must have a valid Alabama Driver's License and proof of liability insurance. Clearance through the State Central Registry on Child Abuse and Neglect. Must be U.S. citizen or provide proof of eligibility to work in this country.

Job Type: Full-time

Pay: $27, $28,000.00 per year
