Job Summary:

The Executive Assistant (with HR Support) provides high-quality administrative support to company leadership while assisting with key HR functions. Reporting directly to HR with a dashed-line relationship to the CEO, this role requires strong organizational skills, attention to detail, and the ability to manage confidential information with professionalism and discretion. In addition to executive support, this position contributes to core HR activities including support with onboarding, employee communications, benefits support, and special projects. The ideal candidate is proactive, adaptable, and thrives in a collaborative, fast-paced environment.

Schedule: This is a full-time, onsite position based in River Grove, IL, with a schedule of Monday through Friday, 8:00am to 5:00pm.

Key Responsibilities:

Executive Support

  • Provide comprehensive executive support, including calendar management, meeting preparation, and travel coordination.
  • Draft, review, and edit correspondence, reports, and presentations for senior leadership.
  • Coordinate internal and external communications, ensuring timely and accurate information flow.
  • Oversee company events, executive meetings, and special initiatives, contributing to operational planning and execution.
  • Serve as a liaison between executives, staff, and external partners, exercising judgment in handling sensitive matters.
  • Lead and manage special projects as assigned by senior leadership, contributing to strategic company initiatives.

Human Resources Support

  • General HR functions, including new hire onboarding and processing employee changes such as promotions, terminations, and contact updates.
  • Advise employees on HR policies, benefits, and HR systems, exercising discretion and independent problem-solving.
  • Coordinate HR-related projects, including training programs, recognition initiatives, and special HR campaigns.
  • Maintain HR databases and ensure compliance with company policies and regulatory requirements.
  • Support benefits administration, enrollment, and employee communications, identifying opportunities for process improvement.
  • Assist with HR initiatives, training coordination, and various special projects.

Qualifications

  • Associate or Bachelor's degree in Business Administration, HR, or related field preferred.
  • 2+ years of administrative or HR experience.
  • Handle sensitive and confidential information with professionalism.
  • Proficient in Microsoft Office with the ability to quickly learn new HR/payroll systems.
  • Strong attention to detail and organizational skills.
  • Clear and effective verbal and written communication skills.

Pay: From $45,000.00 per year
