General Summary:

Under general supervision, the Operations Associate performs intermediate to advanced-level administrative and operational work supporting the day-to-day functioning of the Western Slope Native American Resource Center (WSNARC). This role works closely with the Office Manager to support internal operations, administrative systems, program logistics, data tracking, compliance activities, and cross-department coordination.

The Operations Associate plays a key role in ensuring operational consistency, accuracy, and responsiveness across the organization while supporting a mission-driven, community-centered environment.

Role Purpose:

To support the effective and compliant operation of WSNARC by providing reliable administrative, operational, and coordination support that strengthens internal systems, supports program delivery, and enables staff to serve the community efficiently and responsibly.

Essential Duties and Responsibilities (including, but not limited to):

Administrative and Office Operations Support:
Support daily office operations to ensure efficient workflows, organized systems, and timely completion of administrative tasks. Assist the Office Manager with scheduling, calendar coordination, meeting preparation, correspondence, and internal communications. Maintain organized digital and physical filing systems in accordance with confidentiality, retention, and compliance requirements.

Program and Grant Support:
Assist program staff and leadership with administrative and logistical support related to grant-funded programs. Support data entry, tracking, and documentation for program participation, services, and outcomes. Assist with preparing reports, summaries, and supporting documentation for internal leadership, funders, and auditors as needed.

Data Integrity and Compliance:
Ensure accuracy and completeness of operational and program-related data across organizational systems. Assist with internal audits, reviews, and compliance checks to identify gaps, inconsistencies, or improvement opportunities. Maintain confidentiality of sensitive information, including participant data, personnel records, and protected health information (PHI), in accordance with HIPAA and organizational policies.

Staff Support:
Serve as an administrative support resource for staff regarding operational processes and procedures.

Office Resources, Facilities, and Vendor Coordination:
Assist with inventory management, supply ordering, and vendor coordination. Support facilities-related coordination, shared space scheduling, and general office organization to ensure a safe and functional work environment.

Internal Communication and Coordination:
Serve as a point of contact for internal operational questions and administrative requests. Coordinate across departments to support organizational initiatives, meetings, trainings, and internal events.

Professional Conduct and Team Support:
Interact professionally, respectfully, and responsively with staff, participants, partners, and community members. Contribute to a collaborative, solutions-oriented workplace culture that aligns with WSNARC's mission and values.

Supervision and Professional Development:
Participate in required trainings, certifications, and professional development activities. Work closely with the Office Manager and leadership to align administrative practices with organizational goals.

Other Duties:
Perform additional duties as assigned to support organizational effectiveness and program success.

Knowledge:
Administrative Operations: Working knowledge of administrative systems, office operations, and organizational workflows within a nonprofit or mission-driven environment.
Data Integrity and Compliance: Understanding of confidentiality requirements, data privacy laws, and ethical documentation practices.
Customer Service Practices: Knowledge of professional customer service principles, including responsiveness, discretion, and respectful communication.
Interpersonal Communication: Understanding of interpersonal communication strategies and professional workplace conduct.
Time Management: Knowledge of time management principles, task prioritization, and deadline management in a fast-paced environment.

Skills:
Administrative Support Skills: Strong ability to manage administrative tasks, schedules, documentation, and coordination activities accurately and efficiently.
Communication Skills: Strong written and verbal communication skills with the ability to convey information clearly and professionally.
Critical Thinking and Problem-Solving: Ability to identify issues, evaluate options, and implement practical solutions to operational challenges.
Organization and Attention to Detail: High level of organization and accuracy in documentation, data entry, and task tracking.
Technology Proficiency: Proficient in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and virtual meeting platforms. Comfortable learning new systems and tools.

Qualifications:

Experience:
Minimum of two (2) years of experience in administrative, operations, or office support roles.
Preferred experience in a nonprofit, human services, healthcare, or advocacy-based organization.

Education:
Minimum: High school diploma or GED.
Preferred: Associate's degree or college coursework in business administration, nonprofit management, or a related field.

Licensure:
Required: Valid driver's license and proof of liability insurance.

Physical Requirements:

Office Work:
Ability to work in a standard office environment using a computer, phone, and office equipment for extended periods. Tasks may involve prolonged sitting or standing, typing, scheduling, and document preparation.

Physical Mobility:
Ability to move throughout office spaces and attend meetings or events as needed. Occasional walking, climbing stairs, or movement between locations may be required.

Travel and Site Support:
Ability to travel locally to attend meetings, support events, or coordinate with partners as needed.

Lifting and Carrying:
Ability to lift and carry office supplies, materials, or equipment up to 25 pounds.

Flexible Schedule:
Ability to manage varying priorities and deadlines. Occasional evening or weekend support for meetings or events may be required.
