We are seeking a highly organized and dependable Administrative Assistant to support daily office operations, including payroll administration. This role is essential to keeping our office running smoothly and supporting both field and office teams. The ideal candidate is detail-oriented, professional, and comfortable handling confidential information.
Key Responsibilities
Administrative Duties
- Answer and direct phone calls in a professional manner
- Greet visitors and support office communication
- Manage filing systems (digital and physical)
- Assist with scheduling, meetings, and general office coordination
- Prepare and distribute internal documents and correspondence
- Support estimating, service, and project management teams as needed
Payroll & Timekeeping
- Collect, review, and process weekly payroll for field and office employees
- Verify timecards, job costing hours, PTO, and per diem entries
- Ensure payroll accuracy and compliance with company policies
- Coordinate with payroll provider/accountant as needed
- Maintain payroll records and employee documentation
- Assist with new hire onboarding paperwork related to payroll
Additional Support
- Assist with basic HR administrative tasks
- Help track licenses, certifications, and training records
- Support safety documentation and compliance paperwork
- Perform other administrative duties as assigned
Qualifications
- 2+ years of administrative experience (construction or trades preferred)
- Payroll processing experience required
- Strong attention to detail and organizational skills
- Ability to handle confidential information with discretion
- Proficiency in Microsoft Office (Excel, Word, Outlook)
- Experience with payroll or timekeeping software (e.g., QuickBooks, ADP, Paychex, or similar) preferred
- Strong communication skills, both written and verbal
- Dependable, proactive, and solution-oriented mindset
Job Type: Full-time
Pay: $ $28.00 per hour
