Position Summary
The Clinic Manager promotes and restores patient's health by developing day-to-day management and long-term planning of patient care; directing and developing staff, collaborating with physician, providers and multidisciplinary professional staff; managing the day-to-day operations of the clinic; managing the recruitment; developing and implementing policies and procedures; setting and monitoring budgets; scheduling staff; leading staff meetings; ordering equipment and supplies; handling patient complaints; ensure customer service.

Position Qualifications
Minimum Qualifications
- The clinic manager will work diligently to ensure the needs of the clinic as well as its physicians, nurses and other medical professionals are met.
- Typical daily duties include hiring new employees, creating work schedules, overseeing medical billing, drafting budgets, implementing policy changes, organizing tax forms, starting professional development training, ordering medical equipment and supplies, and leading staff meetings.
- The qualification for the clinic manager has worked in the healthcare field for a minimum of three years.
- An individual who has shown a high level of professionalism, leadership, organization and customer service.
- The candidate must have good judgement, detail-oriented, analytical skills, and excellent decision-making skills.
Strong written and oral communication skills, as well as the ability to multi-task in a busy environment are essential.

Education and/or Experience
- management experience, experienced leader.
Licensure/Certification
- Maintain CPR certification for Health Care Providers
- Obtain and maintain BLS within 90 days of employment

Mathematical Skills
- Employee is required to complete mathematical computations as related to clinic budgets, finances and billing.
Reasoning Ability
- Employee must demonstrate ability to solve problems and deal with a variety of variables; ability to interpret and provide instructions furnished in written, verbal, diagram or schedule form.
- Under limited direct supervision, makes decisions that directly affect patient well-being and clinic reputation with high consequence of error.
Essential Functions and Responsibilities
Job Functions
Guide and support participation in patient care delivery through performing nursing duties as well as acting as a patient service advocate on a daily basis.
Builds strong positive communication with physicians and works as a team to enhance the success of the clinic.
Responsible for profit and loss performance of the clinic. Participates in budget creation and expense management. Proactively identifies opportunities to expand revenue sources and ancillary services and reduce expenses.
Analyzes and staff's front office and back office staff to meet needs of health care professionals and patients efficiently and courteously.
Collaborates with Human Resources to ensure personnel policy is communicated to staff to achieve consistency in labor and employee relations.
Works across organization in assisting with area of expertise; i.e. nursing, employee health, medical records, quality assurance. Serves as a role model for all staff.
Plans, evaluates, recommends and implements new initiatives when appropriate.
Works with CMO in Selecting and hiring employees according to established guidelines. Monitors, coaches, develop and evaluate performance of staff on an ongoing basis in accordance with applicable performance standards.
Responsible for assuring customer/patient needs are met. Monitors patient service feedback and contributes to the process of resolving complaints and service issues. Plans and initiates process for improvement and cost reduction opportunities.
Establish and maintain effective working relationships with vendors, employees, other managers, and physicians. Supports a positive image of Pawhuska Family Medical Clinic inside and outside the organization.
Responsible for OSHA and other regulatory training and compliance. Coordinates cleanliness, orderliness and safety of work environment.
Employee must maintain confidentiality, security and integrity of patient data and information according to privacy regulations, including HIPAA.
Employee assures age and culturally appropriate, holistic patient care based on mission, standards and policies; adheres to standards of relevant regulatory agencies.
Employee participates in clinic performance improvement activities to measure, assess and improve the quality of patient care.
Employee must consistently be courteous to patients, staff and visitors.
Document work processes as required.
Responsible for maintaining all clinic licenses and ensuring licenses are current.
Ensure all required staff are properly credentialed.
- Performs all other associated duties as directed by the CMO
Additional Responsibilities
- Participates in development of the clinic finances. Provides relevant financial information to the Administrator regarding clinic financial needs.
- Seek out external resources through conferences, workshops, etc. as necessary.
- Share professional knowledge with hospital staff, board members, and administrator.
- Comply with HIPAA regulatory requirements.
- Adhere to the clinic's philosophy, mission, and policies and procedures.
- Support the clinic's goals and objectives.
