Duties
- Greet visitors, clients, and staff warmly, providing outstanding customer support and ensuring a positive first impression
- Manage multi-line phone systems with professionalism, directing calls accurately and courteously using proper phone etiquette
- Oversee appointment scheduling and calendar management using tools like Google Workspace and Microsoft Office to coordinate meetings effectively
- Handle data entry, filing, and document proofreading to maintain accurate records and ensure clear communication across departments
- Support office management tasks such as supply inventory, mail distribution, and maintaining cleanliness of the front desk area
- Utilize QuickBooks for basic bookkeeping tasks including invoicing, expense tracking, and financial record keeping
- Assist with clerical duties such as typing correspondence, managing office emails, and supporting administrative projects as needed
Skills
- Proven experience in office management or administrative support roles with strong organizational skills
- Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and data entry skills
- Familiarity with multi-line phone systems and phone etiquette to handle inquiries professionally
- Bilingual abilities are highly desirable to serve diverse client needs effectively
- Prior experience as a dental or medical receptionist or personal assistant is advantageous
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Attention to detail for proofreading documents and maintaining accurate records
- Knowledge of bookkeeping software such as QuickBooks for basic financial transactions
- Exceptional customer service skills with a friendly demeanor and positive attitude
- Time management skills to prioritize tasks effectively throughout the day
