We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth office operations. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. Experience with office software such as Microsoft Office, QuickBooks, and Google Workspace is highly desirable. Bilingual abilities are a plus to assist diverse clientele. The Receptionist will play a vital role in maintaining an organized, welcoming environment that reflects our company's commitment to excellence.
Responsibilities
- Greet visitors and clients warmly, ensuring a positive first impression
- Manage multi-line phone systems, screen calls, and direct inquiries appropriately
- Handle front desk operations including scheduling appointments and maintaining visitor logs
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Utilize office management software such as Microsoft Office, QuickBooks, and Google Workspace for various administrative tasks
- Support office management activities including calendar management and appointment scheduling
- Assist with clerical duties such as photocopying, faxing, and mailing correspondence
- Maintain a clean and organized reception area to promote a professional environment
- Provide excellent customer support by addressing inquiries promptly and courteously
- Manage phone etiquette standards to ensure clear and professional communication at all times
Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with excellent time management abilities
- Experience with multi-line phone systems and front desk operations
- Ability to perform data entry accurately and efficiently with good typing skills
- Knowledge of QuickBooks or bookkeeping experience is a plus
- Bilingual capabilities to serve diverse populations effectively
- Excellent customer service skills with professional phone etiquette
- Office management experience including calendar management and administrative support roles
- Attention to detail with proofreading skills for documents and correspondence
- Familiarity with clerical tasks such as filing, data entry, and document organization
- Proven ability to handle multiple priorities in a fast-paced environment
