Job Overview
We are seeking a highly organized and proactive Business Office Coordinator to oversee daily administrative operations within our organization. The ideal candidate will possess strong office management skills, experience in human resources, and the ability to coordinate multiple tasks efficiently. This role is vital in ensuring smooth office functions, supporting team members, and maintaining effective communication across departments. The Business Office Coordinator will play a key role in managing vendor relationships, overseeing bookkeeping and payroll processes, and supporting event planning initiatives.

Duties

  • Manage calendar scheduling and coordinate appointments for leadership and staff
  • Oversee office operations including front desk duties, multi-line phone systems, and filing systems
  • Supervise administrative staff and support team management activities
  • Handle bookkeeping, payroll processing, budgeting, and vendor management using QuickBooks or similar software
  • Assist with human resources functions such as onboarding, training & development, and maintaining employee records
  • Coordinate event planning activities including meetings, conferences, and organizational events
  • Ensure effective communication through phone etiquette and professional correspondence
  • Maintain medical office management procedures if applicable
  • Support office supply management and ensure a well-organized work environment
  • Facilitate training & development programs to enhance team skills

Experience

  • Prior experience in office management or administrative roles with a strong background in clerical and organizational tasks
  • Supervising experience is preferred to oversee administrative staff effectively
  • Proficiency with QuickBooks for bookkeeping and payroll processing is highly desirable
  • Experience in event planning, vendor management, and calendar management is beneficial
  • Knowledge of human resources procedures including onboarding and employee records management
  • Familiarity with medical office management or front desk operations is a plus
  • Excellent communication skills, phone etiquette, and organizational skills are essential for success in this role
  • Prior experience working with multi-line phone systems, filing systems, and office software tools is required
