Job Summary
We are seeking a highly organized and proactive Office Administrator to oversee daily office operations and support our team. The ideal candidate will possess strong administrative, communication, and organizational skills, with experience in office management, bookkeeping, and human resources. This role involves coordinating various functions such as scheduling, vendor management, event planning, and team supervision to ensure a smooth and efficient office environment.

Duties

  • Manage calendar scheduling and coordinate appointments for staff and executives
  • Oversee vendor relationships and manage procurement processes
  • Handle bookkeeping tasks using QuickBooks, including invoicing and expense tracking
  • Supervise administrative staff and provide training & development opportunities
  • Coordinate event planning for meetings, conferences, and company functions
  • Maintain filing systems, manage front desk operations, and operate multi-line phone systems
  • Assist with human resources functions such as onboarding, payroll processing, and employee records management
  • Oversee office supply inventory and ensure timely procurement
  • Manage office budget and assist with financial reporting
  • Ensure effective communication across departments through phone etiquette and clear correspondence
  • Support medical office management tasks if applicable, including patient scheduling and record keeping

Experience

  • Proven experience in office administration or office management roles
  • Strong background in clerical and administrative tasks with at least several years of relevant experience
  • Experience with QuickBooks or similar accounting software is preferred
  • Supervising experience is advantageous
  • Familiarity with event planning, vendor management, human resources, payroll, budgeting, bookkeeping, and calendar management is highly desirable
  • Excellent communication skills with the ability to manage multi-line phone systems and front desk operations
  • Demonstrated organizational skills with attention to detail in filing, scheduling, and document management
  • Prior experience in medical office management or team supervision is a plus

Pay: $ $25.89 per hour

Expected hours: 40.0 per week
