As we scale toward and beyond $2M in revenue, we are seeking an experienced Director of Operations to serve as the operational backbone of our firm ensuring execution is predictable, teams are aligned, and leadership is freed to focus on growth and advisory services.

Position Overview

The Operations Manager is responsible for end-to-end operational execution across scheduling, workflow management, team coordination, onboarding, and internal systems. This role translates leadership priorities into action, enforces standards, and ensures work is delivered on time and at a high level of quality.

This is a leadership role, not an administrative support position.

Key Responsibilities

Operational Leadership & Execution

  • Own day-to-day operational execution across the firm
  • Translate leadership goals into clear operational plans
  • Ensure accountability, follow-through, and consistency
  • Identify operational risks and resolve issues proactively
  • Enforce operating rhythms and performance standards

Scheduling, Capacity & Workflow Management

  • Own work scheduling and delivery timelines across all client services
  • Monitor capacity, utilization, and workload balance
  • Proactively adjust schedules to prevent bottlenecks or missed deadlines
  • Maintain recurring service cadences (monthly, quarterly, annual)
  • Assign work based on skill level and engagement complexity

Team Performance & Accountability

  • Track performance metrics related to timeliness, accuracy, and utilization
  • Identify performance gaps and partner with leadership on improvement plans
  • Support consistent feedback and coaching
  • Anticipate staffing needs before they impact delivery

Client & Team Onboarding

  • Oversee onboarding for new clients to ensure smooth, consistent transitions
  • Manage onboarding for new team members, including systems access and process expectations
  • Ensure onboarding workflows are documented, repeatable, and efficient

Internal Communication & Coordination

  • Coordinate communication across teams to ensure clarity and alignment
  • Prepare and distribute standardized internal and client communications
  • Manage incoming inquiries and route appropriately
  • Ensure deadlines, priorities, and expectations are clearly communicated

Systems, Administration & Infrastructure

  • Manage the firm's administrative function and oversee the admin role day to day
  • Set priorities and assign administrative work
  • Oversee access to software platforms, tools, and client systems
  • Implement new software as needed
  • Maintain organized documentation and internal controls
  • Identify opportunities to improve operational efficiency and scalability

Process Improvement & Scalability

  • Document, standardize, and continuously improve core workflows
  • Reduce rework, inefficiencies, and operational friction
  • Implement systems and processes that support firm growth

What Success Looks Like

  • Deadlines are consistently met without partner intervention
  • Team workloads are balanced and predictable
  • Processes are documented, followed, and improving
  • Leadership time is protected from daily execution issues

Required Qualifications

  • Bachelor's degree in Business Administration, Operations Management, or a related field
  • Operations certification (e.g., PMP, Lean Six Sigma, Scrum, or similar)
  • Minimum of 3 years of experience working within an accounting or bookkeeping firm
  • Demonstrated experience managing workflows, schedules, and deadlines in a professional services environment
  • Experience leading teams and enforcing accountability

Compensation

Salary Range:
$80,000 – $105,000 per year, depending on experience and qualifications
