Job Summary
We are seeking an experienced and highly organized Part-Time Office Assistant to support a growing construction company in Tulsa.

This role plays a key part in keeping office operations running smoothly and supporting project coordination, billing, and customer communication.

This role also offers an exciting opportunity to contribute to a busy construction office by managing daily clerical tasks, supporting project coordination, and ensuring smooth office operations.

The ideal candidate will be energetic, detail-oriented, and possess excellent communication skills to assist with front desk duties, data entry, scheduling, and customer support. This position is perfect for someone looking to gain experience in office management within the construction industry while working flexible hours.

Duties Key Responsibilities

  • Answer incoming phone calls and handle customer inquiries
  • Perform QuickBooks data entry, invoicing, and basic accounting support
  • Assist with scheduling, calendars, and administrative tasks
  • Maintain organized files, job records, and documentation
  • Complete light driving for errands and document drop-offs
  • Assist with estimates, bids, and purchase orders as needed
  • Greet visitors and clients professionally at the front desk, providing exceptional customer service and maintaining a welcoming environment
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Perform data entry and maintain accurate records using Microsoft Office and Google Workspace tools
  • Assist with scheduling meetings, appointments, and project timelines through calendar management
  • Handle filing, document proofreading, and organization of project files to ensure easy retrieval and compliance
  • Provide general office management support such as ordering supplies, managing mail, and maintaining office cleanliness

Experience

  • Previous office experience in a construction or related industry preferred but not required
  • Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
  • Experience with clerical tasks such as filing, data entry, proofreading, and document management
  • Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
  • Bilingual abilities are a plus to assist diverse clients and team members
  • Customer service experience demonstrating professionalism and effective communication skills
  • Familiarity with office equipment including multi-line phone systems and basic bookkeeping tools like QuickBooks is advantageous
