Reports To: Executive Director, Deputy Director
Position Summary:
The Office Assistant provides administrative and clerical support to Nobles Group Homes and assists the Executive Director as needed. This role is responsible for maintaining office operations, supporting organizational procedures, and ensuring smooth communication both internally and externally. The ideal candidate is highly organized, detail-oriented, and possesses excellent customer service and administrative skills.
Key Duties and Responsibilities:
Administrative Support:
· Assist the Executive Director with daily tasks, scheduling, and organizational needs.
· Maintain office filing and recordkeeping systems; scan, file, and organize paperwork.
· Produce letters, memos, spreadsheets, agendas, and other documents as requested.
· Proofread documents for accuracy and completeness.
· Assist in implementing organizational procedures and administrative processes.
Communication and Customer Service:
· Answer and route incoming phone calls professionally; respond to inquiries from staff, families, and external stakeholders.
· Schedule and coordinate meetings, including room reservations and preparation of materials.
· Provide general information and assistance to staff and clients as needed.
Operational Support:
· Run errands and handle other administrative tasks as assigned.
· Prepare and distribute mail, faxes, and emails.
· Maintain inventory of office supplies and place orders when necessary.
· Assist in organizing office events, meetings, and other special projects.
· Operate standard office equipment (copier, scanner, phone system, etc.).
Minimum Qualifications:
Education:
· High school diploma or GED required. Associate's degree preferred.
Experience:
· Previous administrative and/or customer service experience preferred.
Knowledge, Skills, and Abilities:
· Strong organizational skills with attention to detail.
· Effective verbal and written communication skills.
· Proficiency in standard office software applications (Microsoft Office, email, etc.).
· Ability to manage multiple tasks and prioritize effectively.
· Professional and courteous demeanor with the ability to work collaboratively.
· Ability to maintain confidentiality and handle sensitive information appropriately.
Working Conditions:
· Office environment with occasional errands outside of the office.
· Position may require occasional lifting of office supplies and materials.
Job Type: Full-time
Pay: $12.50 per hour
