Position Overview

The Trade Project Coordinator is responsible for ensuring the seamless and uninterrupted transition of sold jobs into completed projects. Serving as the central communication hub for all Trade subcontracted labor within the Fulfillment Division, this role demands proactive coordination and strong collaboration with key departments, including Operations, Service, and Sales. The position will also support Retail Coordination functions and act as a backup to the Retail Coordinator as needed.

A successful candidate will possess a strong sense of urgency, excellent organizational skills, and a commitment to completing tasks accurately and on time in a fast-paced environment.

Essential Job Functions

  • Receive inbound phone calls
  • File project records accurately, according to company policy
  • Order materials
  • Coordinate minor purchases
  • Schedule subcontractors, order verification.
  • Perform customer care functions
  • Communicate interdepartmentally in a timely manner
  • Oversee material planning
  • Communicate with the jobsites in a timely manner

Other Duties and Responsibilities

  • Interface with installation teams, sales, sales support, operations, accounting and human resources departments
  • Designated point of contact upon completion of the sale with 100% responsibility for all follow-up questions (both internally and externally)
  • Manage recovery process for shortages and damaged Facilitate by ordering parts and/or scheduling service appointments as needed
  • Collects customer payments following installation or delivery as needed
  • Processes factory credits to Pella Corporation and provides follow up/revision to pending or denied credits
  • Other duties as assigned

Education/Experience/Training

  • 4-year degree, or equivalent, required
  • Construction experience and general construction knowledge, required
  • Salesforce experience, preferred
  • Jobsite experience and familiarity with windows and doors, desirable
  • Ability to thrive in a fast – paced environment, with a high sense of urgency where customer and organizational demands are fluid. Adaptable to coordinating multiple projects simultaneously shifting priorities as needed while remaining focused on accuracy /project details.

Physical Demands

  • Have a clear, pleasant speaking voice
  • Use of computers and general office equipment
  • Sitting for the majority of the day
  • Occasional light lifting

Working Conditions and Environment

  • Normal office environment
  • Occasionally work variable, non-traditional hours and make oneself available for customers during evenings and weekends.
  • May require representation of Pella as needed at company sponsored events, and/or builder home shows.

Full-Time Position. Monday-Friday. Salary starting at $55,000 per year.
