Job Overview
We are seeking a dynamic, detail-oriented, and professional Medical Receptionist to join our growing healthcare team. As the first point of contact for our patients, you will play a vital role in creating a positive experience while ensuring smooth daily operations.
This position requires strong communication skills, the ability to multitask in a fast-paced clinical environment, and a passion for helping others. Bilingual (Spanish and English) applicants are strongly preferred to better serve our diverse patient community.
Key Responsibilities
- Greet patients warmly and professionally upon arrival, ensuring a welcoming front-desk experience.
- Schedule, reschedule, and confirm patient appointments using electronic scheduling systems.
- Manage multi-line phone systems, answer calls promptly, direct calls appropriately, and take detailed messages.
- Handle patient check-in and check-out, ensuring all documentation is complete and accurate.
- Verify insurance coverage, perform eligibility checks (including Medicare and Medicaid), and update insurance details in the EMR.
- Collect payments, process copays, and assist with medical collections while maintaining strict HIPAA compliance.
- Prepare and review forms, care plans, CPT codes, ICD-10 codes, and billing information for accuracy.
- Maintain and update patient records in EMR/EHR systems
- Direct and manage incoming and outgoing faxes, emails, and secure messages.
- Assist with medical billing tasks, including claims submission and follow-up on unpaid claims.
- Perform patient intake: update demographics, medical history, and required paperwork.
- Support clinical staff with administrative duties such as scanning, faxing, filing, and organizing patient charts.
- Ensure strict adherence to HIPAA guidelines and maintain patient confidentiality at all times.
- Maintain office organization, manage supplies, and contribute to a clean and professional clinic atmosphere.
- Use Microsoft Office Suite (Word, Excel, Outlook) for documentation, communication, and general office tasks.
Qualifications
- Previous experience in a medical or dental office setting highly preferred.
- Experience with EMR/EHR systems
- Excellent communication and customer service skills with the ability to handle sensitive situations professionally.
- Bilingual (Spanish and English) strongly preferred.
- Working knowledge of insurance verification, Medicare guidelines, and front-desk operations.
- Ability to manage multiple tasks efficiently in a fast-paced environment.
- Strong attention to detail with accurate data-entry skills.
- Proficient with Microsoft Office and general office software.
- Ability to maintain professionalism, confidentiality, and a positive attitude.
