We are seeking a dynamic and highly organized Administrative Assistant to join our team This vital role offers an exciting opportunity to support daily office operations, enhance efficiency, and ensure smooth communication across departments. Whether managing schedules, handling correspondence, or supporting front desk activities, you will be at the heart of our office's success.

Responsibilities

  • Greet visitors and manage front desk operations with professionalism and warmth.
  • Answer multi-line phone systems promptly and courteously, directing calls efficiently.
  • Manage calendar appointments, schedule meetings, and coordinate events to optimize team productivity.
  • Perform data entry, filing, and maintain accurate records using Microsoft Office, Google Workspace, and other office software.
  • Handle incoming and outgoing correspondence, including emails, mailings, and document proofreading.
  • Support bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks entries.
  • Assist with office management duties including supply inventory, equipment maintenance, and organization of common areas.
  • Provide excellent customer service by supporting clients or visitors with their inquiries both in person and over the phone.
  • Maintain confidentiality of sensitive information while demonstrating strong phone etiquette and professionalism.

Skills

  • Proven experience in office management or administrative support roles with clerical experience.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools.
  • Strong organizational skills with the ability to prioritize tasks effectively and manage time efficiently.
  • Excellent written and verbal communication skills; bilingual abilities are a plus
  • Familiarity with multi-line phone systems, data entry, filing systems, and calendar management tools.
  • Knowledge of QuickBooks for bookkeeping tasks; experience with medical or dental receptionist duties is advantageous.
  • Demonstrated computer literacy with the ability to adapt quickly to new software or technology platforms.
  • Attention to detail for proofreading documents and ensuring accuracy in all tasks.
  • Customer service orientation with a friendly demeanor and professional phone etiquette.
  • Personal assistant or medical/dental receptionist experience is beneficial for supporting diverse needs within the office environment.
