JOB SUMMARY

The Fleet Maintenance Manager is responsible for overseeing the daily operations, safety, and performance of the organization's fleet and transportation equipment. This role ensures that all vehicles are properly maintained, inspected, repaired, and compliant with regulatory standards. The Fleet Maintenance Manager coordinates preventive maintenance schedules, manages repair workflows, oversees parts and supply inventory, and ensures accurate documentation of all fleet activities. The role also provides guidance and support to staff who utilize company vehicles, collaborates with the transportation team to minimize downtime, and implements best practices to enhance fleet reliability, efficiency, and safety. In this role, the Fleet Maintenance Manager will also serve as the driver for the CAHN Health Express unit. This position plays a key role in ensuring that the organization's vehicles operate at optimal performance to support seamless service delivery across all locations.

ESSENTIAL FUNCTIONS

  • Oversee the general maintenance, repair, and safe operation of the organization's vehicle fleet, ensuring all vehicles are clean, functional, and meet safety standards at all times.
  • Manage and coordinate minor and major vehicle repairs, troubleshooting issues before engaging external vendors or service providers.
  • Collaborate with fleet maintenance personnel, ensuring they are available to assist outside vendors or contractors performing repairs or inspections on vehicles.
  • Coordinate the movement and transportation of vehicles and equipment to support organizational events, staff functions, or operational needs.
  • Assist with the procurement, inventory, and proper storage of fleet maintenance supplies and parts.
  • Develop and enforce cleaning and upkeep standards for all fleet vehicles, both interior and exterior, to ensure safety and a professional appearance.
  • Monitor vehicle readiness and safety daily, including scheduled inspections, preventative maintenance, and compliance with safety regulations.
  • Maintain detailed logs and checklists for all vehicles, ensuring maintenance tasks are completed, documented, and verified daily.
  • Implement processes to track and manage maintenance schedules, fuel usage, and repair histories for all fleet vehicles.
  • Ensure compliance with organizational policies, safety regulations, and any relevant local, state, or federal requirements for operations and traffic rules and regulations.
  • All other duties as assigned.

Schedule:

Monday – Friday, the hours of operation, 8:00 am- 5:00 pm, with potential extended hours.

EDUCATION AND EXPERIENCE

  • Graduate of high school or GED.
  • Previous experience in a medical setting is preferred, but not required.
  • Must be honest, reliable, and detail-oriented.
  • Ability to make good decisions.
  • Fleet maintenance management experience preferred.
  • Reliable transportation is required.
  • Must be able to lift lbs.
  • Must have reliable transportation and a driver's license.
  • Must be able to stand and walk for long periods of time.

KNOWLEDGE, SKILL, ABILITIES, AND OTHER CHARACTERISTICS

  • Ability to lead, inspire, and support fleet maintenance personnel.
  • Strong interpersonal skills with the ability to build effective working relationships across teams and departments.
  • Excellent planning and organizational skills to prioritize work and manage multiple projects.
  • Strong decision-making, communication, and basic computer skills for reporting and tracking maintenance tasks.
  • Ability to remain calm, professional, and tactful during stressful situations, emergencies, or operational challenges.
