The firm specializes in providing strategic advocacy, communications, and development services to help their clients navigate the complex intersection of government, business, and community interests.
PURPOSE
We are seeking, on behalf of our client, a high-performing Executive Assistant to the Managing Partner whose primary purpose is to protect and optimize their time. This role exists to ensure their calendar is managed with discipline and strategic intent, prioritizing what only they can do, creating space for high-impact work, and preventing unnecessary over scheduling. The Executive Assistant will act as the gatekeeper of the Managing Partner's time, a liaison to internal and external stakeholders, and a trusted partner who brings a data- and detail-informed lens to prioritization and scheduling recommendations. The Executive Assistant provides senior-level administrative and operational support to the Managing Partner by managing their schedule, coordinating critical tasks and meetings, and representing them and the firm with professionalism and sound judgment.
Success in this role means consistently viewing the Managing Partner's calendar holistically and proactively anticipating needs, flagging conflicts, preparing them for key engagements, and ensuring their time aligns with firm priorities and strategic objectives. The ideal candidate is a seasoned, thoughtful Executive Assistant who operates with exceptional service excellence, anticipatory execution, and impeccable attention to detail. They are highly organized, discreet, and confident in making prioritization suggestions that help the Managing Partner stay focused on what matters most.
Please Note: This is an on-site/in office Monday through Friday, Five (5) days per week job with occasional evenings, commuting and travel for events and client engagements.
SCOPE OF RESPONSIBILITY
- Schedule Strategic Calendar Architecture & Time Optimization: Design, govern, and continuously refine the Managing Partner's calendar as a strategic asset. Proactively sequence priorities, anticipate workload peaks, and enforce disciplined scheduling to safeguard focus time, decision windows, and external visibility. Provide data-informed recommendations that align time allocation to firm goals and the Managing Partner's highest-value responsibilities.
- Reception Coverage & Client Experience Support: Serve as a professional point of contact for the Executive Office by greeting clients, visitors, and external partners with warmth, discretion, and polish. Provide light reception coverage as needed, including coordinating guest arrivals, managing front-of-office logistics, and ensuring a seamless, high-quality client experience that reflects the firm's standards and brand.
- Executive Communications & Priority Filtering: Serve as a trusted extension of the Managing Partner's voice, drafting, curating, and managing high-stakes correspondence with exceptional clarity, discretion, and alignment to organizational priorities. Triage inbound communication, elevate critical items, and ensure timely, polished, and purpose-driven responses.
- Complex Travel Strategy & Expense Stewardship: Orchestrate domestic and international travel with precision, ensuring itineraries are optimized for effectiveness, recovery time, and performance. Anticipate logistical risks, build contingency plans, and manage end-to-end expense tracking and reconciliation with accuracy and policy adherence.
- Briefing Materials, Decision Support & Confidential Records: Prepare executive-ready documents, presentations, and briefing packets that accelerate decision-making. Maintain highly organized, confidential records and reference systems, ensuring immediate access to critical information and flawless version control.
- Executive Events, Leadership Enablement & Special Initiatives: Lead planning and logistics for leadership and staff meetings, executive events, and strategic initiatives. Drive timelines, coordinate stakeholders, and ensure all engagements are purpose-built, meticulously executed, and aligned with leadership objectives and brand standards.
- Meeting Design, Agendas & Accountability Follow-Through: Architect meetings for outcomes. Developing agendas, pre-reads, and resource coordination. Capture actions, monitor follow-through, and ensure the Managing Partner's commitments are executed without drift, delay, or loss of momentum.
- Enterprise-Grade Executive File & Information Management: Build and maintain a secure, intuitive executive information ecosystem. Implement efficient naming conventions, retrieval systems, and confidentiality protocols to protect sensitive data while enabling speed, clarity, and continuity.
- Stakeholder Partnership & Executive Office Gatekeeping: Act as the primary liaison for internal leaders and external partners, managing access to the Managing Partner with tact and authority. Route requests appropriately, set expectations, and ensure every interaction with the executive office reflects professionalism, responsiveness, and strategic intent.
- Adaptive Support & Evolving Executive Needs: Perform other duties as assigned and flex responsively to the Managing Partner's evolving needs, priorities, and workflows. This includes adjusting support coverage, assuming new responsibilities, and responding to day-to-day shifts with professionalism, sound judgment, and a solutions-oriented mindset.
CAPABILITIES AND COMPETENCIES
- Qualifications / Experience Requirement: 4–7 years of demonstrated experience providing high-level support to a busy senior executive, with a proven track record of calendar governance, stakeholder management, discretion, and operational excellence in fast-paced, high-accountability environments.
- Executive Business Acumen: Demonstrates a strong grasp of the firm's strategy, operating model, and competitive environment; applies sound judgment to support executive priorities and advance organizational outcomes.
- Data Analysis, Intelligence, & Executive Reporting: Synthesizes quantitative and qualitative inputs into clear, actionable insights for executive decision-making. Produces concise dashboards, summaries, and briefing materials that surface trends, risks, and opportunities.
- Fiscal Stewardship & Expense Integrity: Manages resources with diligence and transparency, ensuring expense and budget practices reflect compliance, accuracy, and financial sustainability.
- Industry Fluency & Contextual Expertise: Brings working knowledge of the firm's industry, including key trends, regulatory dynamics, and stakeholder expectations, enabling more informed triage, prioritization, and executive support.
