Position Overview:

At BCAT, the Medical Administrative Assistant (MAA) Instructor provides high-quality classroom instruction and hands-on learning experiences to adult students preparing for administrative roles in healthcare settings. The instructor leads a cohort of up to 15 adult learners through a nationally aligned Medical Administrative Assistant curriculum, teaching foundational and advanced administrative competencies such as medical office procedures, ethics and compliance, scheduling and patient encounters, billing and revenue cycles, electronic health records (EHR), communication, and professional conduct.

Reporting to the Senior Director, Program, the MAA Instructor ensures that each student receives rigorous instruction, individualized academic support, and real-world preparation aligned with National Healthcareer Association (NHA) certification standards and current healthcare workforce needs. The instructor also refers students to additional support services when appropriate, contributes to student retention and certification outcomes, and maintains high expectations for professionalism, attendance, and engagement.

Key Responsibilities:
  • Instructional Excellence & Curriculum Delivery: The Instructor guides students through BCAT's Medical Administrative Assistant curriculum, which is aligned with NHA and New York State BPSS regulations, and delivers clear, organized lessons that emphasize high academic and professional standards. The role requires the instructor to connect classroom learning to realworld administrative healthcare practices while being responsive to the needs of adult learners. Instruction covers topics such as medical administrative procedures and office operations, scheduling and managing patient encounters, medical ethics and compliance—including confidentiality and HIPAA—EHR documentation, billing and revenue cycle fundamentals, and introductory medical terminology contextualized for administrative functions. The Instructor develops lesson plans, facilitates scenariobased training, and tracks attendance and academic performance using BPSSapproved documentation. They assess student learning through quizzes, tests, and assignments, while maintaining a classroom culture grounded in professionalism, accountability, and respect. The Instructor also collaborates with the Adult Workforce team to update instructional materials and contribute to the ongoing development of the program.
  • Student Support & Career Preparation: The Instructor plays an essential role in supporting student development by offering individualized academic assistance, guidance on professional expectations, and coaching on communication and customer service skills. They help students strengthen time management and organizational competencies that are essential in healthcare administrative work, and they prepare them for employment through resume preparation, mock interview coaching, and workplacereadiness skill building. Additionally, the Instructor ensures students are fully prepared for the NHA Certified Medical Administrative Assistant (CMAA) exam by integrating examaligned concepts into instruction and offering targeted review. Throughout the program, the Instructor communicates consistently, provides constructive feedback, and supports BCAT's broader workforce goals related to retention, certification, and job placement.
  • Program Development & Participation: In addition to teaching, the Instructor participates in programmatic responsibilities that help maintain and strengthen BCAT's Adult Workforce initiatives. This includes attending team meetings, engaging in required professional development, supporting outreach and orientation activities, and collaborating with colleagues on shared learning opportunities. The Instructor also contributes to curriculum review and refinement, supports data collection and compliance documentation, and assists with program evaluation efforts to ensure alignment with BPSS standards and BCAT's mission.
  • Organizational Participation and Support: In addition to their primary responsibilities, all BCAT team members contribute to the broader success of the organization by participating in key events and shared responsibilities. This includes supporting student showcases, program graduations, open houses, community outreach efforts, and other missiondriven activities that strengthen visibility and engagement. Team members may also be asked to assist with crossdepartmental projects, contribute to organizational initiatives, and provide occasional coverage or support in response to evolving operational, student or program needs. This collaborative spirit ensures that BCAT remains a responsive, inclusive, and united workplace.
Skills and Qualifications:
  • High school diploma or equivalent required
  • Minimum 2 years of fulltime experience as a Medical Office Assistant, Medical Secretary, Administrative Medical Specialist, or similar administrative role in a healthcare setting
  • Prior teaching or adult education experience preferred
  • Eligibility for BPSS teaching credential required; willingness to obtain NYS instructor license
  • Strong instructional planning and classroom management skills
  • Ability to explain administrative healthcare concepts clearly to adult learners
  • Excellent written and verbal communication skills
  • Proficient in Google Suite, Microsoft Office, and basic EHR systems
  • Ability to work with a diverse population of adult learners
  • Strong organizational skills and attention to detail
  • Demonstrated professionalism, accountability, and collaborative work style
  • Ability to thrive in a fastpaced, dynamic, missiondriven environment
  • Knowledge of local healthcare employer expectations and administrative workforce trends
