GENERAL DESCRIPTION OF WORK:
The Talent Acquisition Coordinator provides comprehensive administrative and operational support throughout VIA's recruitment and onboarding process. This position ensures recruiting and hiring activities are executed efficiently, accurately, and in compliance with all applicable policies, procedures, and legal requirements. The coordinator supports interview scheduling, applicant tracking, background investigations, and onboarding documentation, ensuring a seamless and compliant hiring experience for both candidates and hiring managers. This role also contributes to process improvement initiatives that enhance efficiency, data accuracy, and the overall integrity of the recruitment lifecycle.
ESSENTIAL FUNCTIONS:
Ensure risks associated with recruiting and onboarding activities are effectively identified, measured, monitored, and controlled in accordance with VIA's risk and compliance policies and procedures.
Coordinates all administrative logistics for the recruitment process, including interview scheduling, calendar management, candidate communication, and meeting preparation across multiple departments.
Serves as the primary point of contact for candidates during the hiring process, providing timely updates on application status and interview details to ensure a professional and positive experience.
Assists with pre-employment background investigations, reference checks, driving record verifications, drug screenings, and credential/license verifications. Ensure results are reviewed, documented, and cleared in compliance with VIA policy and applicable regulations.
Supports onboarding activities, preparing new hire documentation, verifying I-9 forms and employment eligibility, and ensuring all compliance requirements are met prior to start dates.
Prepares onboarding packets, and other employment-related documents, reviews materials for accuracy and policy adherence.
Collaborate with HR staff and hiring managers to resolve issues related to scheduling, documentation, or compliance gaps.
Identifies opportunities to streamline administrative processes, improve documentation accuracy, and enhance the efficiency of recruitment operations.
May assist in coordinating limited outreach or recruitment events in support of organizational hiring initiatives.

REQUIRED EDUCATION AND EXPERIENCE:
Associate degree in Human Resources, Business Administration, or related field and two (2) years of experience in recruiting, human resources, or administrative support. Experience may substitute for education on a year-for-year basis for up to two years.
PREFERRED QUALIFICATIONS:
Experience managing background investigations or pre-employment compliance programs.
Familiarity with human resource information systems (HRIS) and applicant tracking systems (ATS).
ADDITIONAL REQUIREMENTS:
Strong organizational, analytical, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
Knowledge of employment laws and regulations related to hiring, background screening, and employee eligibility verification.
High attention to detail and accuracy in handling sensitive documentation and data.
Ability to handle confidential information with discretion and sound judgment.
Strong written and verbal communication skills with a commitment to excellent internal and external customer service.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfort with digital document management systems.
Ability to analyze information, exercise judgment, and make recommendations in alignment with organizational policy.
Must be able to maintain good work attendance.

PHYSICAL REQUIREMENTS:
Physical ability required to be mobile, bend, stoop, stand, reach and lift objects weighing 5-25 pounds such as files, supplies, equipment and large heavy reference manuals and books.
WORK ENVIRONMENTS:
Works in normal office environment.
Work frequently involves deadlines and multiple priorities.
