Duties
- Greet visitors and clients at the front desk with professionalism and warmth, providing exceptional customer service.
- Manage multi-line phone systems, screen calls, take messages, and direct inquiries accurately.
- Handle data entry tasks using Microsoft Office Suite, Google Workspace, and QuickBooks for bookkeeping and record keeping.
- Maintain organized filing systems—both digital and physical—and ensure documents are accurately proofread and stored securely.
- Assist with calendar management, scheduling appointments, meetings, and coordinating events efficiently.
- Support office management activities including supply inventory, order processing, and basic bookkeeping responsibilities.
- Provide administrative support such as photocopying, faxing, mailing, and managing correspondence with attention to detail.
Qualifications
- Prior office experience or clerical experience demonstrating strong organizational skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace applications, and computer literacy.
- Experience with QuickBooks or similar bookkeeping software is preferred.
- Excellent phone etiquette with the ability to handle multi-line phone systems confidently.
- Bilingual abilities are highly desirable to serve diverse client needs effectively.
- Strong typing skills along with meticulous proofreading capabilities.
- Knowledge of office management procedures including filing systems, data entry, and calendar management.
- Personal assistant or medical/dental receptionist experience is a plus but not required.
- Demonstrated customer service skills with a friendly attitude and professional demeanor.
- Ability to manage time effectively in a fast-paced environment while maintaining accuracy.
