Front Desk Receptionist / Patient Coordinator – Medical Spa

Our Medspa is growing, and we are seeking a professional, friendly, and highly organized Front Desk Receptionist / Patient Coordinator to join our team. If you love aesthetics, skincare, customer service, and creating a polished patient experience, this role offers an exciting opportunity to grow within a luxury medical spa.
Position Overview
This role is essential in shaping the patient experience from start to finish. You will handle scheduling, communication, lead outreach, sales support, post-treatment check-ins, and daily front desk operations. Ideal for someone who enjoys a fast-paced, beauty-focused environment and has a natural ability to connect with people.
Key Responsibilities
Patient Interaction & Front Desk Management
- Greet and check in patients with professionalism, warmth, and confidence
- Manage appointment scheduling, confirmations, waitlists, and reminders
- Keep the front desk and lobby area organized, clean, and aesthetically appealing
- Assist patients with questions about treatments, promotions, and memberships
Communication, Follow-Up & Lead Engagement
- Answer phone calls with a friendly, polished tone
- Follow up with new leads, overdue patients, and inquiries
- Conduct post-treatment check-in calls or messages to ensure patient satisfaction and support aftercare
- Convert calls and leads into booked appointments using strong communication and sales abilities
Sales, Product Knowledge & Service Awareness
- Learn and confidently explain all medspa treatments, skincare lines, and membership options
- Make thoughtful product and service recommendations based on patient needs
- Support clinic sales goals by promoting services, retail products, and monthly specials
- Maintain a sales-forward mindset while prioritizing patient trust and experience
Social Media & Marketing Support
- Assist with capturing photos/videos for content (with consent)
- Help with IG stories, reels, TikTok clips, and organizing media libraries
- Contribute ideas for promotions, campaigns, and special events
Administrative & Operational Tasks
- Process payments, invoices, packages, and memberships
- Maintain accurate intake forms, consents, and patient charts
- Support daily operations to keep the clinic running smoothly
- Manage time efficiently and prioritize tasks effectively

- Professional, polished, and customer-service oriented
- Exceptional verbal and written communication skills
- Confident, charismatic, and comfortable guiding patients
- Social-media savvy and comfortable filming quick content
- Organized and detail-driven with strong time-management skills
- Self-motivated, dependable, and capable of working independently
- Strong critical thinker who can problem-solve on the spot
- Sales-forward, with previous sales experience strongly preferred
- Spanish-speaking is a major plus
- Interest in beauty, aesthetics, and skincare is highly valued
