We are seeking a drug free, dependable, dynamic and highly organized Office Assistant to join our team In this vital role, you will be billing and costing invoices, receiving payments, deposits, calling on accounts receivable, dispatching service calls, filling out lien waivers, and many other tasks that are the backbone of our daily operations, ensuring smooth office functioning and providing exceptional support to staff and visitors alike. Responsibilities
- Drug-free, responsible and dependable work ethic
- Strong attention to detail and accuracy
- contacting customers and discussing payments/invoices for accounts receivable
- Billing invoices including cost of inventory
- Operate multi-line phone systems with professionalism, demonstrating excellent phone etiquette
- Handle data entry tasks accurately using Microsoft Office, Google Workspace, and other office software
- Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents
- Assist with dispatching, scheduling of service appointments
- Support bookkeeping activities using accounting software
- Provide customer service support by responding promptly to inquiries via phone, email, or in person
- Perform clerical tasks such as proofreading documents, preparing reports, and managing correspondence
- Support office management activities
Skills
- Proven experience in office administration or clerical roles with strong organizational skills
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
- Familiarity with bookkeeping is a plus
- Excellent multi-line phone system operation and phone etiquette skills
- Strong typing skills with high accuracy; capable of proofreading documents thoroughly
- Exceptional customer service skills with a friendly, professional demeanor
- Ability to manage time efficiently and prioritize tasks effectively in a fast-paced environment
