Job Summary
Assist the Central Warehouse manager with overseeing all centralized warehouse operations including inbound and outbound movement of inventory and materials. Work closely with manager to keep the warehouse adequately stocked and inventory is properly accounted for utilizing warehouse management system and ERP systems. Supervisor will be a backup to the Central Warehouse manager, as well as assist counter specialists with day-to-day operations when needed. Ensure counter specialists provide a high level of customer service, always, to everyone.
Essential Functions:
- Ensure that all inventory is set up, received, stocked, accounted for and pushed back out through properly planned and executed processes while analyzing activities for the most effective means to achieve success
- Ensure inventory levels are adequate to support agency's needs by working with vendors to source products and services
- Verify or set up inventory items before creating purchase orders
- Request quotes directly from vendors based on data researched by Central Warehouse Manager
- Create purchase orders to fulfill Central Warehouse needs for on-hand quantities
- Effectively communicate with managers, peers and senior leaders on action-items, timelines and support needed
- Operate material handling equipment and train warehouse employees on same
- Assist with ensuring warehouse operations adhere to all safety, hazmat and security requirements and regulations
- Responsible for scheduling and organizing deliveries to other agency locations
- Ability to respond after hours and work varying schedules including evenings, weekends and holidays
- Perform routine, manual, and detailed work involved with receiving, issuing, storing, stocking and inventory duties as backup to warehouse staff, including shift coverage
- Strong leadership skills with the ability to train and motivate warehouse employees
- Other duties as assigned by the Manager, Central Warehouse
- Supervisor position must be able to perform all the job duties of the counter specialist position and be a backup to the manager when the manager is not present
- Member of the Critical Return Team for hurricane, storm and other emergency response events
- During emergency conditions, all CPA employees are automatically considered essential employees and may be subject to recall. These events may include, but are not limited to, natural, man-made, or public health emergencies. Employees may be expected to perform emergency and/or recovery operations outside of their normal assigned responsibilities and routine working hours.
Essential Functions – Specialized
- Set up new inventory item information utilizing organizational naming and numbering conventions
- Compile item-related reports to present to management for decision making purposes
- Utilize historical purchase information and input from user departments and managers to set proper inventory stock levels and identify new or to be discontinued items
- Be a backup to the Central Warehouse Manager when not present for all operations
- Ability to gain working knowledge of entire warehouse to assist such as: WMS, ERP system, work order system, etc.
- Help maintain all items and inventory within the Central Warehouse
- Provide guidance and training to CPA employees on automated warehouse management system
Minimum Qualifications:
- High school diploma or GED equivalent, and a minimum of five (5) years of warehouse and/or materials control experience of which two (2) years is in a warehouse supervisory role, preferably in the public sector; or any equivalent combination of training and experience which provides the required knowledge, skills and abilities.
- Experience and working knowledge of equipment typical or a warehouse setting
- Proficiency with Microsoft Office programs (Word, Excel and Outlook)
- Experience with automated warehouse management software (NetSuite and Maximo experience preferred)
- Effective written, oral and listening communications, including adapting communications based on audiences
- Strong leadership and organizational skills
- Must be able to work any shift, holidays and weekends
Licenses / Certification Required:
- Possess a valid Florida Driver's License or the ability to obtain one within 30 days
- Able to become certified on forklifts and other material handling warehouse equipment
- Able to secure a Transportation Worker Identification Credential (TWIC)
Physical Requirement:
- Tasks involve the ability to exert medium to heavy physical effort in a warehouse environment
- May involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight lbs.)
- This is a safety sensitive position
Environmental Requirements:
- Work is mainly performed in an air-conditioned warehouse
- Some exposure to the outside elements
- Must be able to work in all types of weather
