Previous experience working in a real estate office, for a real estate attorney, or a title company is preferred. Previous experience in administration preferred.
We are seeking a detail-oriented and organized Transaction Coordinator to join The Kim Musgrave Team. You will oversee the entire transaction process from contract to close, ensuring all documentation and responsibilities are handled in a timely and compliant manner.
The ideal candidate is highly organized with excellent communication skills and the ability to multitask effectively in a fast-paced environment. This role is crucial for ensuring a smooth and efficient experience for our clients and agents. Daily responsibilities include:
- Coordinate all aspects of real estate transactions from initial contract to closing, providing administrative support to agents and clients.
- Review contracts, agreements, disclosures, and addenda for accuracy and compliance with brokerage and license law, resolving any discrepancies before filing.
- Manage and track all transaction deadlines and contingencies, ensuring all parties adhere to the schedule.
- Serve as the main point of contact, maintaining consistent communication with clients, agents, lenders, title companies, inspectors, and attorneys.
- Schedule appointments for inspections, appraisals, repairs, and the final closing, coordinating all involved vendors and services.
- Create, manage, and maintain organized transaction files and client information within company databases and transaction management systems.
- Prepare necessary reports, documentation, and closing statements for broker review and distribution.
- Provide administrative support to agents, including scheduling appointments and handling correspondence.
- Track and ensure the timely completion of all necessary documentation, such as purchase agreements, disclosures, and closing statements.
- Ensure all documents have the correct signatures and dates.
- Answer office phone. Respond appropriately and in a timely manner to office calls & emails.
Qualifications & Skills
- Proven experience (e.g., 2+ years) as a Real Estate Transaction Coordinator or similar administrative role in the real estate industry is preferred.
- Strong working knowledge of residential real estate documents, timelines, and basic bookkeeping principles.
- Exceptional organizational skills, attention to detail, and time-management abilities.
- Proficiency with standard office equipment, Google Workspace, and real estate-specific software/CRM systems.
- Excellent written and verbal communication and customer service skills.
- Ability to work independently and collaboratively, demonstrating a proactive problem-solving mindset.
Job Type: Full-time
Pay: $ $24.00 per hour
Expected hours: 40 per week
Experience:
- Transaction Management: 2 years (Preferred)
- Real estate administrative: 2 years (Preferred)
