Position Summary
We are seeking a highly organized and proactive Administrative Assistant to provide exceptional
support to multiple senior leaders. This role requires strong attention to detail, excellent communication skills, and the ability to manage competing priorities in a fast-paced environment.
Key Responsibilities
- Provide high-level administrative support to multiple managing directors and department heads.
- Coordinate internal and external meetings, including scheduling, logistics, conference room reservations, catering, guest registration, and technology setup.
- Book and manage all aspects of domestic and international travel, including flights, hotels, ground transportation, and visa applications.
- Prepare, review, and process expense reports accurately and promptly using Workday.
- Manage complex and dynamic calendars across multiple time zones, ensuring seamless scheduling and prioritization.
- Serve as a liaison between executives and internal/external stakeholders, maintaining professionalism and confidentiality.
- Collaborate closely with other administrative professionals to ensure team coverage and smooth communication.
- Anticipate needs and proactively address issues before they arise.
- Assist with planning and execution of firm-wide events and initiatives.
- Maintain and organize electronic and physical files for easy retrieval.
- Monitor and respond to emails on behalf of executives when appropriate.
- Prepare presentations, reports, and meeting materials as needed.
- Track and manage project deadlines, ensuring timely completion of deliverables.
- Support onboarding of new team members and coordinate training sessions.
- Handle ad hoc administrative tasks and special projects as assigned.
Qualifications
- Bachelor's degree or equivalent experience preferred.
- 3+ years of administrative experience supporting senior executives.
- Proficiency in Microsoft Office Suite and familiarity with Workday or similar systems.
- Strong organizational skills with the ability to manage multiple priorities.
- Excellent written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Flexible and adaptable to changing priorities in a fast-paced environment.
