Overview

We are a small office and plan on keeping it that way.
We are seeking a highly organized and professional Front Office Administrator to join our Dental office. This role is essential in maintaining smooth office operations, providing exceptional customer service, and supporting administrative functions. The ideal candidate will possess strong office management skills, proficiency with computer applications, and excellent communication abilities. Bilingual skills are a plus to effectively serve diverse clients and staff.

Duties

  • Manage front desk operations, including greeting visitors and clients with professionalism and courtesy
  • Operate multi-line phone systems to handle inquiries, schedule appointments, and direct calls appropriately
  • Maintain appointment calendars and coordinate scheduling for staff and clients
  • Perform data entry, filing, and document proofreading to ensure accuracy and organization
  • Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for administrative tasks such as record keeping and bookkeeping
  • Support office management tasks including inventory tracking, supply ordering, and general clerical duties
  • Provide excellent customer service by addressing inquiries promptly and courteously
  • Assist with billing, invoicing, and basic bookkeeping responsibilities
  • Support personal assistant tasks as needed, including calendar management and document preparation
  • Ensure phone etiquette standards are upheld during all communications

Requirements

  • Proven experience in office administration or clerical roles; experience in medical or dental reception is a plus
  • Strong computer literacy with proficiency in Microsoft Office, Google Workspace, dental software and data entry skills
  • Excellent organizational skills with the ability to manage multiple tasks efficiently
  • Exceptional phone etiquette and customer service skills; bilingual abilities are highly desirable
  • Experience with office management systems such as multi-line phone systems and calendar management tools
  • Attention to detail for proofreading, filing, and maintaining accurate records
  • Ability to work independently with minimal supervision while supporting team objectives
  • Prior experience in administrative support roles such as receptionist or personal assistant preferred

Pay: $ $24.00 per hour

Expected hours: No more than 40.0 per week
