The Receptionist serves visitors by greeting, welcoming, and directing them appropriately; notifies company personnel of visitor arrival; maintains security and telecommunications system. Acts as backup to Medical Record Coordinator.
ESSENTIAL DUTIES AND RESPONSIBILITIES:Ensure that the front office is covered during business hours.
Welcomes visitors by greeting them, in person or on the telephone; answering or referring inquiries forwarding calls to proper personnel.
Maintains security by following procedures.
Maintains telecommunication system by following manufacturer's instructions for office phones
Maintains safe, clean, and stocked reception area, restrooms, conference room, breakroom, etc.
Address envelopes and sends bereavement cards as needed.
Pick-up and distribute mail from the P.O. Box
Sign for deliveries such as FedEx or UPS
Inventory and order office & other supplies as needed
Contributes to team effort by accomplishing related results as needed.
Secure building each night.
Maintain doner list.
Copier maintenance & call copy repair service as needed.
Forward phone call to answering service after hours.
Communicate building issues to landlord or maintenance department for repair.
Performs select Medical Record Coordinator's duties as necessary
Other duties as assigned.

Knowledge in:Customer Service/business office and telephone etiquette
General office principles and practices
Organizational skills and time management
English composition, spelling and grammar
Variety of filing systems including alphabetical, numerical and chronological
Basic math
Some knowledge of medical office practices preferred
Courteously greet visitors
Deal effectively with frequent interruptions and several situations at one time
Follow verbal and/or written instructions
Maintain effective working relationships with other employees and the public
Enter data into various software programs/proofread for accuracy
Operate a variety of general office equipment which may include, but not limited to multi-line phone system, Windows with variety of software programs, e-mail, internet, calculator, copy/fax machines
Able to read, write, speak and understand the English language.
Able to work with interpreters, sign language interpreters, and other individuals who may be needed to assist patients or family members to communicate
High School graduate or equivalent and one year of general office experience; some experience in a health care office preferred; or a satisfactory equivalent combination of experience and training which demonstrates the ability to perform the above described duties.
Valid driver's license, satisfactory driving record, and automobile insurance required.
PHYSICAL DEMANDS/REQUIREMENTS:The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. While performing the duties of this job, the employee is regularly required to: use hands and arms to operate standard office equipment; talk or hear; possess adequate vision to include close, distance, and ability to adjust focus; adjust position from sitting and standing; is required to walk, stoop, kneel, crouch and climb stairs. The employee may occasionally lift and/or move up to 25 pounds. Employee may occasionally be required to travel to different agency offices or other locations. The employee may occasionally drive for long periods of time.
WORK CONDITIONS/ENVIRONMENT:The noise level in the work environment is usually moderate
Primary work location will be in the Brookings office or other branch offices as needed
Working hours are generally 8:30 a.m. to 5:00 p.m. Monday through Friday
Employee may occasionally be required to work weekends, holidays or other hours
