About the Role
We're seeking a highly organized, proactive Executive Assistant to support Steve, our CEO and Sales Manager. This role supports operations, sales, and business development—and is perfect for someone who thrives in a fast-paced environment and loves being the operational backbone of a high-performing leader.
What You'll Do
Executive Support
Manage and optimize the CEO's calendar, communication, and priorities
Capture meeting notes and action items
Maintain task systems and streamline workflows
Field calls, texts, and emails; summarize priority items
Serve as a liaison to reduce interruptions and facilitate communication
Attend appointments as needed
Sales Support
Track and delegate actionable items
Prepare agendas and support meetings
Assist with priority leads, clients, new construction, and high-end listings
Review agent activity and help optimize the sales pipeline
Business Development
Support investor relationships and strategic initiatives
Manage project tasks and identify items needing CEO involvement
Real Estate Operations
Prepare CMAs, listing documents, and MLS inputs
Help coordinate open houses and listing contracts
Provide Back up on team calls and leads
Manage team email
Qualifications
Active Indiana Real Estate License (not required, but strongly encouraged)
Experience supporting executives in a fast-paced environment
Exceptional communication and organizational skills
High attention to detail and ability to manage shifting priorities
Professional, discreet, and confident working with high-value clients
Familiarity with Asana, Boldtrail, and Google Workspace is a plus
Initiative-driven with a problem-solving mindset
Schedule, Benefits & Compensation
Full-time: 40 hours/week - Standard hours: 9:00 a.m.–5:00 p.m. (with some flexibility), Competitive salary based on experience, 401k and Paid Time Off
