About The Role
The Senior Executive Assistant at Counterpart Health plays a vital role in supporting the leadership team by providing high-level administrative and strategic support. This position is designed for a proactive, detail-oriented professional who excels in managing complex schedules, coordinating international and domestic travel, and streamlining executive operations. The role involves acting as a trusted partner to executives, understanding the company's strategic priorities, and implementing systems that enhance overall efficiency. The Senior Executive Assistant will manage multiple responsibilities, including calendar management, meeting preparation, project coordination, and special initiatives, all while maintaining the highest level of confidentiality and professionalism. Success in this role requires exceptional organizational skills, strategic thinking, and the ability to adapt quickly in a fast-paced, high-growth healthcare environment. Qualifications
- 5+ years of experience supporting senior executives, preferably within the healthcare or technology sectors
- Proven ability to manage complex calendars across multiple time zones
- Exceptional organizational and time management skills
- Strong interpersonal and communication skills, both written and verbal
- Discretion and confidentiality in handling sensitive information
- Experience with Google Workspace (Gmail, Calendar, Drive, Docs, Sheets)
- Demonstrated ability to streamline processes and improve operational efficiency
- Proactive problem-solving skills and attention to detail
- Ability to prioritize tasks effectively in a dynamic environment
- Living in the San Francisco Bay Area
Responsibilities
- Manage and coordinate the calendars of designated executives, scheduling internal and external meetings across various time zones
- Develop and maintain a thorough understanding of Clover and Counterpart's strategic goals and priorities to inform meeting planning and information flow
- Build and enforce structured scheduling practices, proactively monitoring for conflicts and ensuring adherence to standards
- Prepare agendas, meeting materials, and minutes, ensuring follow-up on action items
- Hold executives accountable for deliverables by exercising sound judgment and balancing internal and external priorities
- Provide comprehensive support to executives by managing workflows, projects, and administrative tasks, allowing them to focus on high-impact activities
- Identify opportunities for operational improvements and implement structural changes to enhance team productivity
- Coordinate travel arrangements, including international and domestic trips, considering preferences and comfort, and troubleshoot any issues that arise
- Greet guests and facilitate smooth onsite and virtual meetings, managing logistics such as catering and virtual meeting setup
- Support special projects and initiatives from the leadership team, ensuring timely and measurable outcomes
- Assist with agenda preparation, document management, and follow-up activities to ensure seamless meeting execution
