Under general supervision, the Administrative Assistant will perform administrative duties for the Stormwater Permitting Section. Manages and processes incoming applications for stormwater permitting programs Industrial, Municipal Separate Storm Sewer Systems (MS4) and Construction Permitting. Provides procurement and travel reimbursements for the Division.
Job Duties:
- Provides assistance to the Section staff by performing administrative reviews, data entry, typing, mailing, and related work applicable to the issuance of permits and National Pollutant Discharge Elimination System (NPDES) coverages.
- Processes incoming mail to the Division and assists with bureau wide incoming mail needs. Distributes mail as directed.
- Handles incoming phone calls and provides assistance to customers. Participates in Bureau phone and mail rotation, as scheduled.
- Processing administrative work for issues as travel request, requisitions, reimbursements, public notices and data entry.
- Monitors stormwater permit applications to verify they are being logged in a timely manner. Identifies to the Manager when there is a back log of applications.
- Other Duties as Assigned.
- A high school diploma and relevant program experience.
Note: Degrees in a related technical field include, but are not limited to, Earth sciences, chemistry, biology, physics, soil science, environmental science, mathematics, etc.
Institutions of Higher Learning must be recognized by the Council for Higher Education Accreditation.

Additional Responsibilities:
- Must have valid state driver's license, and ability to operate state-owned vehicles.
- Must have excellent knowledge of office management procedures, policies, and practices, including an understanding of filing and record keeping practices.
- Must have a working knowledge and ability to use standard office equipment including computers and printers, copiers, scanners and fax machines.
- Must have the ability to obtain DPO certification and understanding of procurement procedures.
- Knowledge of MicroSoft products such as outlook, word, excel, access, and PowerPoint.
- Ability to use Adobe products such as acrobat.
- Previous P-card experience and DPO Certification.
