Job Overview
We are seeking a professional and organized Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and ensuring smooth daily operations. This role requires strong communication skills, proficiency with office management tools, and the ability to handle multiple tasks efficiently. Experience in office administration, clerical duties, and familiarity with medical or dental reception is a plus. The Receptionist will play a vital role in maintaining a welcoming environment and supporting administrative functions across departments.
Duties
- Greet visitors and clients warmly, providing excellent customer service at all times
- Manage multi-line phone systems, directing calls appropriately and taking detailed messages
- Handle front desk responsibilities including check-in/check-out procedures
- Schedule appointments and manage calendar coordination using Microsoft Office and Google Workspace tools
- Perform data entry, filing, and document proofreading to ensure accuracy and organization
- Maintain office supplies inventory and order necessary materials as needed
- Assist with basic bookkeeping tasks using QuickBooks or similar software
- Support office management tasks such as organizing files, managing correspondence, and supporting administrative projects
- Provide customer support via phone, email, or in person, ensuring professional communication etiquette
- Perform clerical duties including typing, photocopying, and maintaining organized records
- Support personal assistant tasks or medical/dental receptionist duties if applicable
Qualifications
- Proven experience in office management, clerical work, or receptionist roles; prior medical or dental receptionist experience is advantageous
- Strong computer literacy with proficiency in Microsoft Office (Word, Excel), Google Workspace, and data entry skills
- Familiarity with multi-line phone systems and phone etiquette
- Ability to handle sensitive information discreetly with excellent organizational skills
- Bilingual abilities are preferred to assist diverse clientele effectively
- Excellent organizational skills with strong attention to detail and proofreading capabilities
- Effective time management skills to prioritize tasks efficiently
- Previous experience with QuickBooks or bookkeeping is a plus
- Strong customer service orientation with professional communication skills both in person and over the phone
