Cahaba Medical Care is a Community Health Center (FQHC), accredited as a Patient-Centered Medical Home (PCMH) by the National Committee for Quality Assurance (NCQA) and Joint Commission. We have locations throughout central Alabama serving Bibb, Perry, Chilton, Shelby, Wilcox, and Jefferson Counties. Our health centers provide comprehensive primary care services, including treatment and management of chronic and acute diseases; preventative care and cancer screenings; pediatric care; women's health services; prenatal care and obstetrics; dermatological services; geriatrics; sports medicine services; mental healthcare; dental services and much more.

Cahaba Medical Care provides high-quality health services regardless of a patient's ability to pay by offering a discounted, sliding fee schedule based on income and family size. While this has been the mission of the clinic since its founding, our capabilities have continued to develop and grow through our designation as a nonprofit, Federally Qualified Health Center (FQHC). As an FQHC, we are stewards of annual federal funding that allows us to enhance our services to those without insurance and to those facing hardship - whether medical, social, financial or emotional.

About the Role:

The QA Receptionist plays a critical role in ensuring the smooth and efficient operation of the healthcare facility's front desk while maintaining high standards of quality assurance. This position serves as the first point of contact for patients, visitors, and healthcare professionals, providing exceptional customer service and managing communications with professionalism and accuracy. The QA Receptionist is responsible for verifying patient information, scheduling appointments, and coordinating with clinical and administrative teams to support seamless patient flow. Additionally, this role involves monitoring and documenting reception processes to identify areas for improvement and ensure compliance with healthcare regulations and organizational policies. Ultimately, the QA Receptionist contributes to a positive patient experience and supports the facility's commitment to delivering high-quality healthcare services.

Minimum Qualifications:

  • High school diploma or equivalent.
  • Previous experience in a receptionist or front desk role, preferably within a healthcare setting.
  • Basic knowledge of medical terminology and healthcare administrative processes.
  • Proficiency with computer systems, including electronic health record (EHR) software and standard office applications.
  • Strong communication and interpersonal skills.

Preferred Qualifications:

  • Certification in medical office administration or related field.
  • Experience with quality assurance practices in healthcare environments.
  • Familiarity with HIPAA regulations and patient privacy standards.
  • Ability to handle multiple tasks efficiently in a fast-paced environment.
  • Bilingual abilities to assist a diverse patient population.

Responsibilities:

  • Greet and assist patients, visitors, and staff in a courteous and professional manner.
  • Manage patient check-in and check-out processes, ensuring accurate collection and verification of personal and insurance information.
  • Schedule and confirm patient appointments using electronic health record (EHR) systems and coordinate with clinical staff to optimize scheduling efficiency.
  • Answer incoming calls, respond to inquiries, and direct calls to appropriate departments or personnel.
  • Maintain and update patient records and reception logs in compliance with privacy laws and organizational standards.
  • Monitor reception area operations to ensure adherence to quality assurance protocols and identify opportunities for process improvements.
  • Collaborate with healthcare providers and administrative teams to resolve scheduling conflicts and patient concerns promptly.
  • Assist in training new reception staff on quality standards and reception procedures.
