A Brief Overview
Performs recruiting support and administration duties including using Workday applicant tracking system. Serves as a first point of contact for job candidates when visiting our Omaha office. Maintains various Human Resources records and produces reports. Performs Human Resources support duties. Maintains strict confidentiality.

What will you do?

  • RECRUITING SUPPORT AND TESTING: Performs recruiting duties including using the recruiting applicant tracking system. Schedules candidates for in-office and/or remote testing and interviews and schedules recruiter and hiring managers for in office and virtual interviews. Arranges for applicant travel as directed by recruiters and confirms arrangements with applicants. Serves as a first point of contact for job candidates when visiting our Omaha office. May request transcripts and references from candidates. Administers applicant testing, schedules remote testing and maintains testing results. Assists Recruiters with communication to applicants. Assists with maintaining recruiting records in the recruiting applicant tracking system, Excel, SharePoint and Adobe. May assist with phone screening of candidates as needed. May conduct verifications of education and work history. May assist in sourcing process to identify potential candidates, tag or allocate to pool, as well as communication via the recruiting applicant tracking system to invite applicants to apply for positions. Operates within compliance of EEO, ADA and other applicable employment laws.
  • HR RECORDS AND BILLING SUPPORT: Performs administrative support duties for department. Maintains various Human Resources records and produces reports, such as recruiting metrics and job openings spreadsheet. Checks accuracy of time sheets and billing for temporary agency employees and resolves billing discrepancies with temporary staffing agencies. Produces invoices to pay temporary agencies and independent contractors. Maintains temporary agency data in spreadsheets and folders, and monthly reports. Answers incoming calls and relays messages.
  • ADMINISTRATIVE SUPPORT: Filing fully executed Statements of Work (SOW) in appropriate location and keeping track of upcoming contingent worker renewals and rate increases. Updating rate adjustments for current contingents and Managed Services into the Billing spreadsheet to send to HRIS for upload in the Human Resources Information System (HRIS). Maintaining records of current contingent status on specific work visas through agencies, including client letter requests and Labor Condition Application (LCA) notices. Assist with the development and management of prospects within the applicant tracking system as well as the use of LinkedIn Recruiter to import prospects for the purpose of sourcing by the recruitment staff. May engage social media outlets for market intel, branding, networking, etc. Edit and post job postings for new requisitions as well as refresh job postings for currently posted requisitions.
  • JOB POSTINGS: Posts approved jobs through the HRIS system and/or directly on Company websites and Intranet, college career services' internet sites, various Internet job boards and print publications. Checks the accuracy of internal job postings to match the current requisition based on approved job requisitions. Contacts job posting sites to resolve posting problems. Monitors expiration dates and confirms reposting with recruiters. Maintains record on the Job Opening spreadsheet of dates jobs are posted and postings expire for each site. May assist Recruiters with drafting internal and external job postings.
  • CAREER FAIR COORDINATION: May assist with career fair coordination including registration, preparing materials, participant and applicant communication, results tracking and reporting, and payments. Arranges travel and lodging for employees attending Career Fairs and for students scheduled for in-office interviews. Coordinates testing and on-campus interviewing for candidates. Prepares interviewing schedules for recruiters and hiring managers.
  • OTHER: Performs special projects or related duties as assigned or as situation dictates.

Education
High school diploma or GED and two years college or equivalent work experience.

Experience
One or more years work experience.

Required Knowledge

  • Basic math
  • MS Office Applications (Excel, Word, PowerPoint)

Preferred Knowledge

  • Applicant Tracking Software experience
