Job Summary
We are seeking a professional and organized Front Desk Receptionist to join our team. The ideal candidate will serve as the first point of contact for visitors and callers, providing exceptional customer service and administrative support. This role requires strong communication skills, proficiency with office management tools, and the ability to multitask efficiently in a fast-paced environment. Experience with office software, multi-line phone systems, and clerical tasks is essential to ensure smooth daily operations and a welcoming atmosphere for clients and staff alike.
Responsibilities
- Greet visitors promptly and professionally, creating a positive first impression
- Manage multi-line phone systems, directing calls accurately and courteously
- Schedule appointments, manage calendars, and coordinate meetings using Google Workspace or Microsoft Office tools
- Handle data entry, filing, and document proofreading to maintain organized records
- Operate office equipment such as printers, fax machines, and photocopiers efficiently
- Assist with bookkeeping tasks using QuickBooks or similar accounting software when needed
- Provide excellent customer support by addressing inquiries via phone, email, or in person
- Support office management tasks including supply inventory, mail distribution, and general administrative duties
- Maintain confidentiality of sensitive information while ensuring all administrative processes run smoothly
Requirements
- Proven experience in office management, clerical work, or as a receptionist; medical or dental receptionist experience is a plus
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace
- Familiarity with QuickBooks or bookkeeping software preferred
- Excellent organizational skills with the ability to prioritize tasks effectively
- Exceptional phone etiquette and customer service skills; bilingual abilities are highly desirable
- Ability to handle multi-line phone systems efficiently and professionally
- Strong typing skills with attention to detail for data entry and proofreading tasks
- Previous experience in office experience or administrative roles demonstrating reliability and professionalism
- Knowledge of calendar management tools and time management techniques to coordinate schedules effectively
- Personal assistant experience or medical receptionist background is advantageous but not required
