Position Overview:
The Resident Move-In Coordinator plays a vital role in ensuring a smooth, organized, and welcoming transition for new residents into our community. This position oversees all aspects of the move-in process — from application through occupancy — while providing exceptional support to residents, their families, and internal teams. The ideal candidate will demonstrate compassion, professionalism, and strong organizational skills, ensuring that every new resident's experience reflects Encore Management's high standards of service and care.
Essential Duties and Responsibilities:
- Process applications from the screening source and input data into AppFolio.
- Monitor the screening process, submit change tickets, and manage roommate releases and re-certifications.
- Complete all move-in steps for the leasing department, including Welcome Letters with cost breakdowns and correct ledger coding.
- Prepare and execute leases, addendums, and supporting documentation.
- Add new tenants and acquisitions into AppFolio accurately.
- Communicate with leasing agents and prospects to answer questions and confirm move-in details.
- Review utility confirmations, payments, and all pre-move-in documentation.
- Clear leasing activities from dashboards and issue "clear to move-in" confirmations.
- Finalize move-ins in AppFolio and ensure data integrity.
- Gather and organize information for Build-to-Rent (BTR) properties.
- Schedule and confirm property showings for approved applicants.
- Approve or deny applications in both Screening Source and AppFolio; escalate override requests as needed.
- Generate weekly and monthly move-in reports.
- Process refunds for administrative or holding fees for denied or canceled applications.
- Set up alarm and security service accounts for new residents.
- Send resident portal activation links and assist with access setup.
- Maintain "dummy" properties in the system as required.
- Represent Encore Management professionally to all prospects and residents, maintaining a customer-first approach.
- Assist with leasing functions including lead follow-up, documentation, and customer service.
- Conduct property walks prior to move-in and complete weekly inspections.
- Show available homes to prospective renters and follow up with leads within 24 hours.
- Collaborate with the Leasing Manager to improve leasing performance and monitor market trends.
- Maintain awareness of local market conditions, shop competitors, and provide feedback to management.
- Perform quality assurance inspections to ensure homes meet company standards.
- Adhere to all Fair Housing, ADA, Fair Credit Reporting Act, and applicable housing laws.
- Perform additional duties as assigned by supervisor.
- This position may be stationed at a Build-for-Rent community and/or corporate office.
Physical Requirements:
- Ability to sit or stand for extended periods and climb stairs multiple times daily.
- Must be able to travel throughout the assigned market using a personal vehicle.
Preferred Skills and Experience:
- Experience in senior living, assisted living, or similar resident care settings is highly desirable.
- Knowledge of caregiving practices, including personal care and safety procedures, is a plus.
- Experience supporting individuals with developmental disabilities or long-term care needs is beneficial.
- Strong interpersonal and communication skills with a focus on relationship building and resident satisfaction.
- Proficiency in property management software (AppFolio preferred) and Microsoft Office Suite.
- Prior experience in social services, leasing, or customer relations preferred.
- A valid driver's license required for travel between communities.
