Position Description
The Operations & Data Management Administrator supports a team of conservation staff, each of whom executes and manages individual projects, as well as collaborates on larger projects and events. Guided by our mission and goals, this position will create efficiencies in the management of critical behind-the-scenes administrative tasks. These tasks include creating and managing vendor contracts, designing and implementing GIS methodologies, and assisting toward other project management efficiency goals. This position is ideal for a candidate who enjoys computer-based administrative work that brings efficiencies to a team.
The Operations & Data Management Administrator is an exempt, full-time position with benefits including Health, Dental, 401k, LTD, Dependent Care, Health Care FSA, Life Insurance, 14 paid holidays, and a PTO plan. Salary range is $50,000 - $60,000. Great River Greening offers a flexible workplace and staff are currently working hybrid-remotely.
Primary Duties and Responsibilities:
Operations Administration
- Manage the entire life cycle of organizational contracts – from preparing RFPs, execution, periodic review, and all follow-through activities – ensuring proper documentation into Sharepoint throughout.
- Request for Proposals (RFP) Management
- Assist Program teams with drafting RFPs, finalizing formatting and info requirements
- Post RFPs, solicit bids, and assist Program team with award process
- Manage the RFP lifecycle through internal tracking spreadsheet and continuous communication with Program team
- Contract Management
- Draft, administer, and process all vendor contracts in direct support of Program teams managing restoration projects
- Track all deadlines associated with various agreements, communicating appropriately to internal and external stakeholders
- Maintain, and update as needed, contract templates
- Collaborate with appropriate team members to ensure that terms and conditions of contracts are fulfilled and that related financial transactions are processed appropriately.
- Assist internal teams with various project management tools and applications
- Update project information within internal tracking tools for project managers
Data Management
- Contribute to the design and improvement of GIS methodologies for project efficiency and effectiveness
- Create and modify ArcGIS design templates, and other tools for streamlining frequently performed tasks
- Maintain and update as-built records and GIS datasets
- Produce live updated maps and accurate representations of project-specific data within maps
- Provide assistance and coordination of drafting, mapping, graphic illustrations and related report preparation
Mission Specific Work
- Attend and participate in conservation and staff meetings
- Perform other administrative related tasks as required
Skills and Abilities:
- Excellent proofing and documentation skills with superb attention to detail
- Excellent deadline management and project management skills
- Ability to prioritize tasks based on changing needs and schedules
- Proficient in Microsoft Suites and ArcGIS software
- Familiarity with legal terminology
- Conscientious, collaborative, and reliable.
Preferred Qualifications:
- Associate's degree in accounting, finance, or business administration; or Geographic Information Systems; or equivalent knowledge gained through alternative course of study and life experience
- At least 2 years of experience reviewing and administering contracts
- At least 2 years of experience as part of a project team and/or office administration experience
- Experience with government grants and contracts preferred
- Demonstrated ability to work with ArcGIS datasets, deliverables, and software
