Job Description
The Administrative Assistant is directly accountable to the Manager to provide confidential administrative support, along with coordinating the day-to-day office functions of the Family Medicine Unit. This includes assistance in developing & maintaining staff schedules, vacation, leave requests, making time corrections within AIMS and VIP systems. The position will be responsible for supply purchasing for the unit via AIMS My Connection system and interacting with SHA procurement. The incumbent works closely/ cooperatively with the Manager, FMU, to assist in accomplishing objectives. The incumbent coordinates workflow with other admin. support staff within the Academic Health Sciences and Learner Placement portfolio and in their absences, may provide support services as requested. These assignments are completed with a high degree of accuracy in an efficient & effective manner. The position ensures any inquiries, complaints and concerns are directed to the appropriate department.

Qualifications - Education
- Certificate/Diploma from a recognized Business Administration or Office Administration program;
- Medical Terminology is an asset in the performance of duties;
Experience
Two years (24 months) significant demonstrated administrative experience in a health care organization with progressively increased levels of responsibility.
Knowledge, Skills & Abilities
- Contributes to good public and internal relations through a high level of professionalism, tact and courtesy with outside callers and with other SHA Departments
- Produce quality work of sufficient volume through organization and prioritization of an often unpredictable and dynamic workload.
- Maintains and disseminates information in a discreet, sensitive and confidential manner.
- Attends committee meetings as required, compiles agendas, takes/transcribes minutes, distribution of meeting information and does any follow-up required after the meetings
- Takes the initiative to streamline processes and improve efficiencies (financial, time, operations) with approval from Manager
- Meet time-sensitive deadlines
- Maintain a high level of integrity and confidentiality
- Develop effective communication and information systems
- Be proficient in a number of computerized applications, including word processing, spreadsheets, database administration, Power Point presentations and email
