Overview
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will possess strong computer skills and have experience in office management, providing exceptional customer service, and supporting administrative functions. This role is essential in ensuring the smooth operation of our office and will involve a variety of tasks that require excellent time management and communication skills.

Duties

  • Manage front desk operations, including greeting visitors and handling inquiries
  • Operate multi-line phone systems with professionalism and courtesy
  • Perform data entry, filing, and clerical tasks to maintain organized records
  • Utilize Microsoft Office and Google Workspace for document preparation, spreadsheets, and presentations
  • Provide customer support through effective communication and problem-solving skills
  • Proofread documents for accuracy and clarity before distribution
  • Support bookkeeping tasks, including basic accounting functions using QuickBooks (as needed)
  • Support logistics department with scheduling and dispatching (as needed)
  • Maintain confidentiality of sensitive information while managing administrative duties
  • Collaborate with team members to improve office efficiency and workflow

Requirements

  • Proven experience in an administrative role or similar capacity
  • Strong organizational skills with the ability to manage multiple tasks simultaneously
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace
  • Excellent typing skills with attention to detail for data entry tasks
  • Bilingual abilities are a plus to enhance communication with diverse clientele and employee base
  • Familiarity with multi-line phone systems and professional phone etiquette
  • Experience in customer service or support roles is highly desirable
  • Knowledge of office management practices and procedures
  • Previous experience as a dental receptionist or medical receptionist is advantageous
  • Ability to work independently as well as part of a team while demonstrating initiative
