Overview
We are seeking a detail-oriented and proactive Office Coordinator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office environment. This position requires strong organizational skills, effective communication abilities, and a knack for multitasking. The Office Coordinator will be responsible for managing various administrative tasks, overseeing office functions, and supporting team members to enhance productivity.
Responsibilities
- Coordinate and manage office activities, ensuring efficient operations and a welcoming environment.
- Plan and organize company events, meetings, and training sessions.
- Supervise office staff and assist with their training and development.
- Manage schedules, including calendar management for executives and team members.
- Handle vendor management, including negotiating contracts and maintaining relationships with suppliers.
- Oversee human resources functions such as payroll processing, employee onboarding, and maintaining personnel records.
- Perform clerical duties such as filing, data entry, and managing multi-line phone systems.
- Provide exceptional front desk support, greeting visitors and handling inquiries with professionalism.
- Ensure compliance with office policies while promoting a positive workplace culture.
- Assisting or filling in when staff members are absent
- Manage IT infrastructure with IT vendor including user access and training
Experience
- Proven experience in office management or administrative roles is essential.
- Familiarity with QuickBooks for financial tracking is preferred.
- Strong organizational skills with the ability to manage multiple tasks simultaneously.
- Excellent communication skills, both verbal and written.
- Experience in medical office management is a plus but not required.
- Background in event planning or team management will be advantageous.
