Responsibilities
- Oversee daily office operations to ensure a seamless workflow across departments
- Manage scheduling, calendar coordination, and appointment setting for staff.
- Supervise administrative staff, providing training, guidance, and performance feedback
- Coordinate event planning for meetings, company functions, and team-building activities. Answering Phones.
- Handle vendor management including negotiations, contracts, and service quality assessments
- Maintain accurate bookkeeping records using QuickBooks
- Recruit, Hire, and train employees on business processes.
- Handle payroll processing, and employee records management
- Manage office supplies inventory, filing systems, and front desk operations including multi-line phone systems and phone etiquette
- Ensure compliance with office policies and procedures while fostering a positive work environment.
- Work Directly with CEO and assist in helping building out and streamlining processes.
Requirements
- Proven experience in office management or administrative roles with supervisory responsibilities
- Strong organizational skills with the ability to multitask efficiently in a fast-paced environment
- Excellent communication skills—clear, professional, and courteous in all interactions
- Proficiency in QuickBooks, calendar management tools, and general bookkeeping practices
- Experience with event planning, vendor negotiations, and budget management
- Knowledge of human resources processes including payroll administration and employee training & development
- Familiarity with front desk operations, filing systems, multi-line phone systems, and phone etiquette
- Ability to supervise teams effectively while maintaining high standards of professionalism.
- Prior experience in construction related companies a plus.
