Primary Purpose of Organizational Unit

The Division for University Advancement is responsible for the following primary goals:

  • Coordinate a campus-wide, comprehensive effort to raise philanthropic funds that support the strategic plan and mission of the university.

  • Manage an inclusive alumni engagement program designed to serve and engage over 100,000 alumni as ambassadors, advocates and donors.

  • Strengthen and expand UNCW's donor pipeline through effective discovery, cultivation, solicitation and stewardship strategies.

  • Ensure that external boards (UNCW Foundation Board, Board of Visitors, Student Aid Association Board, Alumni Association Board of Directors and the Friends of UNCW) are effective in their mission of supporting UNCW.

The division's fundraising efforts are enhanced by effective partnerships with the campus community as well as external constituents including alumni, parents, corporations, foundations, volunteers and friends. Development areas include annual giving, leadership annual giving, major gifts, principal gifts, corporate and foundation engagement and planned giving, as well as alumni engagement. Prospect development, events and board management, stewardship, communications and advancement services are support services for the fundraising activities of the division.

Brief Summary of Work for this Position

The Business Services Coordinator provides comprehensive administrative and business support to the Division Business Officer (DBO) and the Assistant Vice Chancellor for Development Operations (who oversees gift processing, data processing and prospect development). The coordinator will assist with budget management, reconciliation, staff onboarding, and various other operational tasks across multiple departments, ensuring the smooth functioning of the division and timely execution of projects.

Key Responsibilities:

  • Assist DBO in managing budget reconciliation reports in coordination with division administrative staff.
  • Promptly prepare and manage CAP (Compensation Action Plan) forms and terminations for Business Officer approval.
  • Assist DBO in maintaining computer inventory and tracking hardware lifecycles.
  • Provide support for annual budget preparation, including conducting historical research and providing data for budget planning.
  • Serve as Leave Keeper for the Division, tracking and managing employee leave requests.
  • Prepare and manage EPAF (Electronic Personnel Action Forms) for student employees and temporary staff.
  • Provide support for ongoing searches and onboarding of new staff.
  • Maintain the UNCW University Advancement directory, organizational charts, and contact lists.
  • Manage AiM (Asset Management System), surplus, and Information Technology tickets for Development Operations and DBO when needed.
  • Handle purchasing requests for Development Operations team.
  • Provide comprehensive calendaring support for the Assistant Vice Chancellor of Development Operations.

Minimum Education and Experience Requirements

Bachelor's degree in business administration or a related discipline; or an equivalent combination of training and experience. All degrees must be received from appropriately accredited institutions.

Preferred education, professional skills and experience

  • UNC System campus experience as an Admin or similar position.
  • Ability to prioritize, manage and successfully complete multiple tasks.
  • Demonstrated experience with Microsoft office products, especially proficient in Word and Excel.
  • Demonstrated experience with ERP software such as Banner.
  • Demonstrated experience with Works, ChromeRiver, PeopleAdmin and other related software.
  • Excellent interpersonal communication skills, with evidence of building collegial relationships.
