Overview
We are seeking a highly organized and proactive Office Manager to oversee daily operations within our dynamic office environment. The ideal candidate will possess strong administrative, managerial, and communication skills, with experience in office management, human resources, and bookkeeping. This role offers an exciting opportunity to lead a team, manage vendor relationships, and ensure the smooth functioning of our office. Prior experience in medical office management or front desk operations is a plus, along with proficiency in QuickBooks and Athena.

Duties

  • Manage daily office operations, including front desk responsibilities.
  • Oversee scheduling and calendar management for staff and company events
  • Supervise administrative staff and coordinate training & development initiatives
  • Handle vendor management, including procurement and service provider relations
  • Assist with human resources functions such as onboarding, employee records, and policy enforcement
  • Organize event planning for company meetings, client events, or community outreach programs
  • Ensure proper filing systems are maintained for efficient document retrieval
  • Oversee medical office management tasks if applicable, ensuring compliance with relevant regulations
  • Uphold professional communication standards and phone etiquette across all interactions
  • Support team management efforts to foster a productive and positive work environment
  • Greet patients, verify insurance information, and collect co-payments.
  • Address patient inquiries and resolve any complaints or concerns.
  • Maintain patient confidentiality in accordance with HIPAA regulations.
  • Coordinate referrals to specialists and schedule diagnostic tests as needed.
  • Be very well versed in using Athena

Qualifications

  • Proven experience in office management, administrative support, or clerical roles
  • Supervising experience with strong leadership capabilities
  • Proficiency in QuickBooks
  • Athena
  • Have knowledge of doing prior authorizations and referrals
  • Excellent organizational skills with attention to detail
  • Strong communication skills both written and verbal
  • Experience with event planning, vendor management, and human resources functions
  • Must be able to multitask and delegate responsibilities
  • Prior experience in medical office management or front desk operations is required
  • Demonstrated ability to manage multiple priorities efficiently in a fast-paced environment
  • Professional demeanor with excellent phone etiquette and customer service skills

Job Type: Full-time

Pay: $ $24.00 per hour

Expected hours: 40 per week
