We are seeking a highly organized and detail-oriented Office Assistant to join our team at a children transportation services company. As the Office Assistant, you will play a crucial role in ensuring the smooth operation of our transportation services for children, overseeing administrative tasks, managing schedules, and maintaining efficient communication channels. Your primary responsibility will be to support the daily operations of our office and ensure the safe and timely transportation of children to and from various locations.

Compensation is based on experience.

Responsibilities:

Administrative Management:
- Oversee general administrative tasks, including managing phone calls, emails, and correspondence.
- Maintain accurate records of client information, schedules, and transportation routes.
- Coordinate with other departments to ensure seamless communication and operational efficiency.
- Implement and maintain efficient filing systems and document management processes.

Scheduling and Dispatching:
- Plan and manage daily transportation schedules for drivers and vehicles.
- Assign drivers to specific routes and ensure timely pickups and drop-offs.
- Monitor and update schedules to accommodate changes or special requests.
- Effectively communicate schedule updates and changes to drivers, parents, and other stakeholders.

Communication and Customer Service:
- Serve as the primary point of contact for parents, schools, and other stakeholders.
- Address inquiries, concerns, and requests from clients and provide exceptional customer service.
- Coordinate with parents to ensure accurate and up-to-date transportation information.
- Develop and maintain positive relationships with clients, vendors, and partner organizations.

Staff Management and Training:
- Provide supervision and support to transportation staff, including drivers and administrative personnel.
- Conduct regular performance evaluations and provide feedback to improve efficiency and effectiveness.
- Develop and implement training programs for new hires, ensuring adherence to safety protocols and company policies.
- Foster a positive work environment and promote teamwork and collaboration among staff members.

Safety and Compliance:
- Ensure compliance with local regulations, transportation laws, and safety standards.
- Monitor driver documentation, including licenses, insurance, and background checks.
- Maintain accurate records of vehicle maintenance and inspections.
- Address safety concerns promptly and implement corrective actions when necessary.

Qualifications and Skills:
- High school diploma or equivalent. Further education in business administration or a related field is a plus.
- Proven experience in office management, preferably in a transportation or logistics environment.
- Strong organizational and multitasking skills with excellent attention to detail.
- Exceptional communication and interpersonal skills.
- Proficient in using office software and tools, including spreadsheets, word processing, and email applications.
- Ability to work effectively in a fast-paced environment and handle multiple priorities.
- Knowledge of local transportation regulations and safety standards is advantageous.
- Experience in managing and training staff members is preferred.
- Demonstrated problem-solving abilities and ability to make sound decisions under pressure.
