Overview
We are seeking a highly organized and detail-oriented Dental Treatment Plan Coordinator / Front Desk Specialist to join our dental practice. The ideal candidate will serve as the first point of contact for patients, managing appointment scheduling, insurance verification, and treatment plan coordination. This role requires excellent communication skills, proficiency with dental and medical software systems, and a strong understanding of healthcare documentation and billing procedures. The position offers an opportunity to work in a dynamic environment dedicated to providing exceptional patient care and administrative support.

Duties

  • Greet patients warmly and professionally, ensuring a positive first impression
  • Manage patient intake, appointment scheduling, and follow-up using EMR systems such as Eaglesoft, Dentrix, or similar platforms
  • Verify insurance coverage and benefits through systems like Epic, Meditech, Athenahealth, or other health information management software
  • Review and document treatment plans accurately, including CPT coding, ICD-10/ICD-9 coding, and care plan documentation
  • Collect payments and perform medical billing tasks related to dental procedures
  • Maintain accurate patient records in compliance with HIPAA regulations and other privacy standards
  • Facilitate communication between patients and clinical staff regarding treatment plans and financial arrangements
  • Handle multi-line phone systems with professional phone etiquette and assist with appointment rescheduling or inquiries
  • Support administrative functions such as filing, data entry (including 10-key typing), and document review
  • Assist with insurance verification processes for Medicare or other insurance providers
  • Ensure all documentation is complete, accurate, and compliant with healthcare regulations

Qualifications

  • Prior experience in dental office management or medical administrative support preferred; clinic or dental clinic experience is a plus
  • Proficiency with EMR/EHR systems such as Eaglesoft, Dentrix, eClinicalWorks, Meditech, or Athenahealth
  • Knowledge of dental terminology, medical coding (ICD-10/ICD-9/CPT), and health information management standards
  • Strong computer skills including Microsoft Office Suite (Word, Excel), typing (10-key), and familiarity with office management software like Eaglesoft or Dentrix
  • Excellent customer service skills with professional phone etiquette and bilingual abilities are highly desirable
  • Experience with insurance verification processes for Medicare or private insurers preferred
  • Ability to handle sensitive patient information in accordance with HIPAA regulations
  • Strong organizational skills with attention to detail in documentation review and data entry
  • Previous experience working at the front desk of a dental or medical office is advantageous
