Position Description

Administrative Assistant

STAFF RELATIONSHIP: The Church Administrative Assistant operates under the direction of the

Church Administrator and works closely with all staff members.

HOURS: Monday through Friday, 8:30 - 4:00, with ½ hour

for lunch (37.5 hours per week), vacation per policy manual.

SALARY: Determined by the Personnel Committee. Medical, dental, death and disability and pension benefits offered. Voluntary participation in PCCT's 403B Retirement Plan.

DESCRIPTION: The "face" of the office, this position is often the first person

visitors/members encounter. Candidate must be able to multi task/prioritize due to the "front desk" nature of this position. Confidentiality is a priority. Position is open to non-church members only.

DESIRED BACKGROUND: The successful candidate must possess excellent people, organizational, multi-tasking and prioritizing skills. Prior office management within a nonprofit is a plus. Knowledge of and experience with computers is essential as is a willingness to operate other office machines. Experience in Canva, Word and Excel.

CHURCH ADMINISTRATIVE ASSISTANT JOB DESCRIPTION

The church office's main function is to support the ministries of PCCT. The Church Administrative Assistant supports PCCT's ministries through:

OFFICE

· Attending weekly staff meetings.

· Meet deadlines for weekly and monthly tasks.

· This position is the welcoming "face" of PCCT whether it be in person or through answering the phone.

· Answering phones, screen phone calls and take messages for church staff members, as well as members of Session while maintaining the confidentiality of all correspondence (verbal/written.)

· Ordering of all office supplies while staying within budget.

· Keeping the "work room" organized and stocked with basic office supplies.

· Overseeing office equipment (copier, duplicator, folding machine) and having them serviced as needed as well as ensuring adequate supplies (toner, staples etc.)

· Enter/access computer data, in membership database "Breeze". Provide information and reports (including Church Directory.)

· Maintenance of church membership records on the computer (Breeze) and in the Church Register books and in the membership files.

PUBLICATIONS

· Ensure the timely publication of the Sunday bulletins (including inserts), special event bulletins, announcements, as well as other communications (as needed).

· Proofread, duplicate, and distribute sermons (as needed).

· Create brochures as needed.

VOLUNTEERS

· Train and schedule office volunteers.

· Manage volunteer online sign-ups.

WORSHIP/PREPARING FOR SUNDAYS

· Coordinate Sunday ushers.

· Provide special instructions to ushers as needed.

· Prepare weekly tabulating envelopes and usher offering envelopes.

· Separate and organize donations and ensure donations put into the tabulating closet for Sunday.

· Ensure pew inserts are current (i.e. apportionment, Mission, Advent, Easter) by scheduling volunteer.

· General straightening up of pews (membership pads, pew inserts, hymnals, Bibles)

· Pull weekly Membership Pad Attendance Sheets (volunteer)

· Ensure attendance sheets then entered into Breeze (volunteer)

· Prepare baptismal certificates.

MEMBERSHIP COMMITTEE SUPPORT

· Work with Membership Committee providing a list of "visitors" for potential new members, prepare New Member packets, create New Member folders and input information into Breeze.

· Ensure Membership Attendance Records inputted into Breeze Database.

· Review visitors/members who need to be followed up with. Also review attendance reports in Breeze to determine if there is a regular attender who has stopped attending. (communicate this with pastors and program staff)

STAFF SUPPORT

· Coordinate time out of office with Church Administrator to ensure office coverage.

· Assist Treasurer/Bookkeeper with administrative needs.

· Schedule and prepare required information for church retreats (as needed).

· Work generated by the ministers, Director of Family's Ministries, Session, Deacons, and committees will be assigned to the Church Administrative Assistant by the Church Administrator. Assignments might include tasks such as general duplicating, collating, folding, designing and mailing fliers, other Christian Education tasks, securing and supervising volunteer help, and occasional trips to the post office or local stores for supplies.

Pay: From $40,000.00 per year
