Job Overview
We are seeking a dedicated and detail-oriented Medical Office Assistant to join our healthcare team. In this vital role, you will serve as the first point of contact for patients and visitors, providing exceptional customer service while managing a variety of administrative and clinical tasks. Your expertise will ensure smooth clinic operations, accurate documentation, and efficient communication between patients and healthcare providers. Responsibilities
- Greet patients warmly at the front desk, verify insurance coverage, and perform insurance verification procedures.
- Schedule appointments accurately using electronic scheduling systems such as Epic, Meditech, or Athenahealth.
- Manage patient records by updating and maintaining electronic health records (EHR systems) including eClinicalWorks, Dentrix, Eaglesoft, or similar platforms.
- Assist with medical billing and collections by processing claims using CPT coding, ICD-9/ICD-10 codes, and ensuring compliance with HIPAA regulations.
- Review and verify medical documentation for accuracy and completeness; prepare care plans and update medical records accordingly.
- Handle multi-line phone systems with professional phone etiquette; respond promptly to patient inquiries and direct calls appropriately.
- Support clinical staff with administrative tasks such as filing, data entry (including 10 key typing), and managing medical records in accordance with health information management standards.
- Conduct intake procedures for new patients; assist with medical office management tasks including office supply inventory and appointment reminders.
- Ensure compliance with HIPAA privacy standards during all documentation review and data handling processes.
- Utilize computer skills to operate various EMR systems effectively while maintaining high levels of accuracy in documentation review and medical coding.
Qualifications
- Proven experience as a Medical Office Assistant or in a similar healthcare administrative role within a clinical or dental setting.
- Strong knowledge of medical terminology
- Familiarity with EMR/EHR systems or similar platforms.
- Experience with insurance verification processes including Medicare and other third-party payers.
- Excellent customer service skills paired with professional phone etiquette and strong communication abilities.
- Ability to handle multiple tasks efficiently in a fast-paced environment while maintaining attention to detail.
- Bilingual skills are highly desirable to serve diverse patient populations effectively.
- Office management experience including scheduling, filing, data entry, and document review is preferred.
