Job Summary
We are seeking a full-time Studio Administrator to manage procurement, project coordination, and office operations. This is a hands-on role focused on vendor relations, materials management, and financial administration, including QuickBooks.

This position is ideal for someone experienced in office operations, procurement, and bookkeeping, who enjoys working in a creative studio environment and contributing to high-end residential and commercial projects.

Key Responsibilities

Procurement & Vendor Management:

  • Source, order, and track materials and supplies from vendors
  • Maintain accurate vendor contacts, pricing, and order histories
  • Receive, verify, and label materials for projects
  • Manage timelines for materials and production to ensure on-time delivery

Financial & Office Administration:

  • Process new orders, create work orders, issue invoices, and input data into management software
  • Manage deposits, final payments, and accounts using QuickBooks
  • Handle basic accounting tasks such as expense tracking, reconciliations, and reporting
  • Maintain accurate project and financial records

Project Coordination:

  • Monitor ongoing projects and production schedules to ensure deadlines are met
  • Coordinate installation schedules and logistics with vendors and clients
  • Assist with client communications and order updates

Web & Marketing Support (Optional/Nice-to-Have):

  • Update the company website (Squarespace) with new projects and events
  • Support social media and newsletter content as needed

Experience & Qualifications:

  • Minimum 2 years of experience in administration, procurement, or office operations
  • Strong QuickBooks experience is essential
  • Excellent organizational and multitasking skills
  • Detail-oriented and able to manage multiple priorities independently
  • Experience in design, textiles, or interior design is a plus but not required

Required Software Skills:

  • QuickBooks
  • AutoCAD / SketchUp / Adobe Suite a plus, but optional
